Welcome to the Stanford Jazz Workshop! We’re delighted that you will be participating this summer. The Stanford Jazz Workshop (SJW) is a community of students and teachers who gather together from different places and cultures to share their ideas and approaches to music, to perform, and to learn from each other. It’s always a lot of fun and a very rewarding experience. Don’t worry about the things you don’t yet know. SJW is a great place to learn, and we have students at all levels of experience, so you’ll be learning along with other people at your level. Everyone comes to SJW to learn, and even the faculty members go home with new ideas. Often the difference between a musician who sounds comfortable and one who is struggling is just a matter of a little knowledge, a new concept, or some experience, and SJW is the perfect place to get all those things. You’ll be surprised at how much you pick up in a short time! Spend some time with your instrument in the days before coming to SJW. We do a lot of playing and it’s good to have your endurance up and your chops in good shape. Review what might you already know about scales, arpeggios, chords, harmony, and improvisation, and listen to as much jazz as you can. Whether you’re just beginning your jazz studies or you feel you’re at an advanced level, come with an open mind, and you’ll get a lot of out your experience at SJW. We’re looking forward to having you participate in some wonderful music this summer!

Policies and Guidelines By attending Stanford Jazz Workshop, participants and their parents or guardians agree to accept all Stanford Jazz Workshop policies and guidelines. We expect all participants to abide by the following rules regarding student conduct while Jazz Camp is in session. Any violation of these rules may be grounds for immediate expulsion from Jazz Camp. No refunds will be issued to a student who is dismissed from a SJW program for violating SJW policies.
Stanford Jazz Workshop Policies Any student may be dismissed from Jazz Camp for any of the following reasons: Being outside of Camp boundaries or leaving campus unaccompanied by a SJW staff member Being in dorm area designated for the opposite sex Leaving a dorm after you have checked in for the night Stealing or vandalizing property Possessing or using tobacco, alcohol, drugs, or weapons of any kind Bullying, hazing, or sexual harassment Undermining or threatening the safety or well-being of themselves or others •
The use of drugs, alcohol, or tobacco products by Stanford Jazz Camp participants at any time while attending the program is not permitted
•
Students are expected to attend class on time. Classes are not optional; attendance at all events listed on the participant’s daily schedule is mandatory, unless otherwise specified.
•
Faculty, staff, and counselors are to be respected, just as participants are to respect each other.
•
Non-emergency cell phone use is not permitted in class; all devices must be set to silent mode or turned off while students are in classes and performances.
•
Conflicts will be resolved in a peaceful and orderly manner; fighting is grounds for immediate dismissal from Jazz Camp.
•
Participants are expected to remain within Jazz Camp boundaries on the Stanford campus. Specifically, unless otherwise directed by SJW staff or faculty, students are permitted in Braun Music Center, Tresidder Union, Stanford Bookstore, Stanford Post Office, and at SJW dining locations.
•
Students staying in a Stanford campus Residence Hall (dorm or row house) must abide by rules outlined by SJW counselors. Residence hall rules will be discussed at the SJW Dorm Resident Orientation on Sunday, July 21 and Sunday, July 28 at 3:00 p.m.
•
Participants who wish to leave Jazz Camp areas must have both parental permission and advance authorization from SJW staff.
•
Dorm residents may not get into an automobile unless they have permission from their parents and SJW management.
•
Commuter students are not permitted to leave defined Jazz Camp boundaries between 9:00 a.m. and 5:00 p.m. without written parental permission. Commuter students are encouraged to attend Jazz Festival concerts (free) and evening jam sessions (free) at the discretion of their parents. Stanford Jazz Workshop will not be responsible for commuter students after 5:00 p.m.

Stanford Jazz Workshop Guidelines The safety and comfort of Jazz Camp participants is of the utmost importance to the Stanford Jazz Workshop. To help ensure your own safety and comfort, please observe the following guidelines. •
Safety first: If you sense a threat to your safety or the safety of others, notify a counselor or staff member immediately. In an emergency, call 911 or from a campus phone dial 9–911.
•
If you have a problem, talk to a counselor or your teacher. If you have a problem with a counselor or teacher, talk to the head counselor or a staff member at the SJW main office.
•
Always walk with someone else or with a group of Jazz Camp participants. After dark, walk together on well-lighted pathways. Be aware of your surroundings and avoid talking on cell phones or listening to headphones while walking. Additional guidelines will be explained at the Welcome Meeting.

What to bring Checklist All Jazz Camp participants • An instrument with current identification tag (or arrange to rent an instrument by June 15, 2013). Drum kits, amplifiers, and pianos/keyboards will be provided. • Extra reeds, strings, rosin, valve oil, slide cream, tuning slide grease, cork grease, or other instrument supplies. • A piece of music to play for the placement evaluation, memorized or written (not required for drummers). Please see “Individual Placement Evaluations” below for more details. • Lock for instrument locker if desired (participants with large instruments such as bass and drums do not need one since those instruments are stored in Braun Rehearsal Hall). • Note pad, music paper, pens, and pencils.

Clothing The weather during the summer is usually warm and dry, although the nights may cool off a bit. Dress is casual at SJW, and shorts and T-shirts are acceptable. There will be a student performance for which you may want to bring something a little nicer, such as a polo shirt and khaki pants, or a summer dress or skirt.
Spending money Jazz Camp dorm residents will receive a Meal Card, which can be used to purchase all meals. Commuter participants should bring their lunch or purchase it on campus; prices for lunch at Tresidder Student Union typically range from $7 to $15. All participants may wish to bring an additional $60$80 to purchase books, jazz recordings, snacks, souvenirs, or other supplies. The Stanford Federal Credit Union, Bank of America, and Wells Fargo Bank are located at Tresidder Memorial Union. ATM machines connected to the STAR, PLUS, CIRRUS, MC, and VISA systems are also available.
How to Prepare You’ll get the most out of your experience at Jazz Camp if you practice every day, year-round. At a minimum, spend time playing your instrument or singing each day, starting four to six weeks before camp. Specifically, you can prepare for Jazz Camp by spending time: Warming up Reviewing and practicing scales and arpeggios Developing tone and endurance with long tones, flexibility studies, and technical etudes Playing jazz songs and compositions Learning music by ear by playing along with recordings Reviewing what you know about jazz music theory and harmony Improvising You’ll be playing a lot at Jazz Camp, and if your endurance, flexibility, and technique are as good as possible, you’ll be able to get the most out of the Jazz Camp experience. In addition, students who live within commuting distance of Stanford University can sign up for our Evening Jazz Classes, a five-week series of classes held on Monday and Tuesday evenings, from June 17 to July 16. Instruments and equipment Students should bring their own instruments with current identification tags, except as noted below. If it is difficult for you to bring your own instrument, please call our offices or e-mail us as soon as possible, and note the information below on instrument rental. Drummers are required to submit a $35 drum usage fee; see the Drums section below.
Primary instrument/multiple instruments Students who wish to play more than one instrument while attending camp must designate one as their primary instrument. Your primary instrument is the one you’ll play during the Individual Placement Evaluation and in your combo. You may play other instruments as you choose in other classes. If you want to take a private lesson on an instrument other than your primary instrument, please contact us via e-mail at
[email protected] as soon as possible.
Instrument rental It is possible for students to rent equipment and instruments from Stanford Jazz Workshop, but inventory and selection are limited. A deposit of $250 and a usage fee of $50 will be required by June 15. Students will be responsible for any damage that occurs to these instruments. Usage fees and deposit will be due one week after confirmation of availability. Financial aid recipients are exempt from the usage fee, but still need to submit the deposit. Not all rental acoustic basses come equipped with their own pickups, so you may need to provide your own. When renting a bass please be sure to ask if you need to provide a pickup or not. Brass and woodwind instruments SJW has a limited supply of saxophones, trumpets, trombones, tubas, and sousaphones. Please contact us well in advance to reserve these instruments. These instruments require a $250 deposit and $50 usage fee. Guitars We are not able to provide electric guitars. Basses and cellos If you are bringing your own acoustic/upright bass, please have your own pickup. If you are planning to fly with your bass, be sure to check with your airline about luggage restrictions and regulations. A limited number of good quality acoustic basses and cellos are available to rent. A $250 deposit and $50 usage fee are required. These are good quality instruments, but are not equipped with pickups. You are responsible for providing your own pickup. Participants are welcome to use SJW bass amps (see Amps). Pianos and keyboards A piano and/or keyboard is provided in every rehearsal room. Amps SJW places a Peavey KBA100 in every combo room. These amps have four channels, no effects, and limited equalization. Bass and guitar players may both plug in to the KBA100, which is sufficient for rehearsal purposes. If this situation is not adequate to your needs, you may bring your own small amp — please do not bring large amps. Jazz Camp students may not move SJW’s amps to other rooms. Separate guitar and bass amps will be provided for all performance situations. Drums SJW provides drum kits for all student drummers to use in classes, combo rehearsals, and performances. There is a $35 usage fee due at the time of registration for all drum students to use SJW drum sets. Practice opportunities will usually be in the evenings when there are no classes in session.
Instrument storage Instrument lockers are available on the first and second floors of Braun Music Center on a first-come, first-served basis. Yellow arrow signs direct you to lockers. Participants may claim lockers on the first day of Jazz Camp (Sunday, July 21 and Sunday, July 28). You are responsible for providing your own padlock. Jazz Camp participants who are unable to get a locker may store their instruments in supervised instrument storage rooms. Make certain your name is written on your instrument case. Large instruments, such as basses, should be stored in Braun Rehearsal Hall.

First day of Jazz Camp in detail The following sections go into more detail about the activities listed in the schedule in the previous question.
1. Dorm Residents: check in to your dorm room first. Dorm check-in is held from 12:00 p.m.–2:00
p.m. and must be done before you register for camp. For information on dorm locations please see the Dorm Resident Information Pack, which will be available online once we know which buildings will be assigned for our use. We will also e-mail it to all students with their assigned dorm room number one week before the start of camp.
2. All students: Check in at Registration and receive your red Welcome folder. Registration checkin for dorm resident students is from 12:30 p.m.-2:00 p.m. Commuter student registration is from 1:30 p.m.-3:00 p.m. Registration tables will be set up in front of the main entrance of Braun Music Center, just outside of the main lobby. Dorm Residents should check into the dorm first before they register. If you are resident student and will be arriving after 2:00 p.m. or a commuter student and arriving after 3:00 p.m., please call our office at 650-736–0324 or e-mail us at
[email protected] as far in advance as possible so we can make late arrival arrangements for you. The red Welcome folder you’ll receive at registration contains important information about the Individual Placement Evaluation process, as well as other important documents for Registration day.
If students or parents have questions about Jazz Camp, we will have an information table staffed by an SJW staff member in the Campbell Courtyard located inside Braun Music Center who will be happy to answer any questions. We will also have knowledgeable SJW staff members in the lobby of Braun to help direct students to the evaluation rooms and answer questions.
Once the student has checked in and received a red Welcome folder, parents and guardians are free to leave. Parents may also choose to stay and wait for their student to complete the evaluation process. Commuter students can arrange to meet up with parents after the welcome dinner that will end at 7:30 or arrange to meet them after the concert around 9:30 p.m.
3. Individual Placement Evaluations. Most students will have one placement interview and one written placement evaluation. Here is the process.
Sign up for the Instrumental Placement Evaluation. Inside the red Welcome folder is the evaluation schedule, which indicates where the student should go to sign up for their evaluation. A map of Braun Music Center is also in the red Welcome folder. The student should write their name on the list posted on the door of their evaluation room as soon as possible, as evaluations are first-come, first served.
Take the Theory Placement Evaluation while waiting. Also inside the red Welcome folder is the Theory Placement Evaluation, which the student should complete and return to the SJW main office located in room 232B on the second floor in Braun Music Center by 4 p.m. This written evaluation is used to determine the appropriate theory class level for the student.
Our goal is to place students into classes where they will be challenged but not overwhelmed. We have places for students of all levels and abilities. Beginners with no music theory experience should not worry at all. No one is placed in a class where they feel uncomfortable.
Drummers who want to study jazz theory and harmony are welcome to take the Theory Placement Evaluation. Otherwise, drummers will be placed in a class that covers rhythm section playing instead of theory.

Individual Placement Evaluations. These take about 10 minutes and assess the student’s instrumental technique, jazz improvisation experience (if any), and ability to learn by ear. These evaluations help us place each student in classes and ensembles with other students with similar levels of experience. • Instrumental technique: Students may choose to bring in a piece of music (such as a classical piece, a jazz tune, or a part from a school band or orchestra piece) or play something from memory (like a jazz or pop tune or some scales). The purpose of this section is not for the student to play a performance-ready prepared piece; it’s just to give the instructor an idea of the student’s general facility on his or her instrument. • Improvisation: Students who are comfortable improvising are asked to improvise over the chords of a song of the instructor’s choosing. Instructors will provide sheet music and accompaniment appropriate for improvisers at all levels of experience. Many of our students are beginning improvisers with no experience whatsoever, so no one should feel intimidated if they’ve never improvised before they get to Jazz Camp. • Learning by ear: Students are asked to repeat back individual notes, rhythms, and melodic phrases that the instructors play.
Drummers will be asked to play several different jazz styles at a variety of tempos. Their ability to keep steady time, play at various dynamic levels, and keep their place in a song’s form will also be evaluated. Drum auditions do not include the “learning by ear” component, and drummers don’t need to bring in a piece of music to play.
Bassists familiar with walking bass lines will be asked to play lines over chord changes at a variety of tempos. Instructors will provide sheet music with chord changes.
Vocal students are evaluated in a group instead of individually. Vocalists should arrive ready to sing a song they know, although sheet music and song suggestions will be available if necessary.
Some evaluation processes might differ slightly from the above descriptions.
• Following the Placement Evaluation. Once the evaluation and Theory Evaluation is complete, the student may have some free time before the Dorm Resident Orientation at 3:00 p.m. or the Welcome Meeting for all students that starts at 4:00 p.m. Students may get a bite to eat, rest, or attend the Welcome Party where counselors will be jamming with students.
4. Orientation Meeting for dorm residents. Taking place at 3:00 p.m. in Dinkelspiel Auditorium, this
meeting is where students will meet their counselors, receive their meal cards, and go over nightly check-in procedures and dorm policies. This meeting is for dorm resident student only.
5. Welcome Meeting for students, faculty, and staff. Taking place in Campbell Recital Hall at 4:00
p.m. after all placement interviews have concluded, this meeting is to welcome all the students to camp, introduce the faculty members to the Campers, let the faculty perform for the students, discuss events that will take place during the week, and go over camp rules. The meeting will be followed by a tour of the Jazz Camp facilities and end at Tresidder Union for a welcome dinner. After dinner commuting students will be finished for the day but are invited to the evening’s Stanford Jazz Festival concert.

Students attending Jazz Camp Week 1 and Jazz Camp Week 2 If you’re attending Jazz Camp Week 1 and Jazz Camp Week 2 you do not have to re-take the Individual Placement Evaluation between weeks. SJW staff will assign you to classes and a combo that build on your first-week experience. If you feel your placement was not ideal in Jazz Camp Week 1, you may go through the Individual Placement Evaluation process again on the first day of Jazz Camp Week 2, Sunday, July 28. Please notify the SJW staff in the main office on Sunday of Jazz Camp Week 2 that you would like to do this, and you’ll be directed to the room where your evaluation will be held. All students who attended Jazz Camp Week 1 are encouraged to attend the Week 2 Welcome Meeting at 4:00 p.m. and welcome dinner on Sunday, July 28 so they can meet the new faculty members and students who will be part of week 2 If you will not be able to attend please e-mail us at

Students attending Jazz Camp Week 2 and Jazz Institute for Youth All students attending Jazz Camp Week 2 and Jazz Institute for Youth must do the following:
1. When you apply: Complete the Jazz Institute Audition procedure, and submit your audition CD or MP3s as soon after you’ve applied for Jazz Institute as possible. Auditions are due by March 15. Students may apply after March 15 students, but they will need to submit their audition online at the time they register. Audition guidelines are available here:

2. On the first day of Jazz Institute (Sunday, August 4) you must go through the Individual Placement Evaluation.

All students must attend the Jazz Institute Welcome Meeting at 4:00 p.m. Parent and family departure Students are welcome to bring parents or a family member with them to help guide them through the registration process; however, many students do arrive alone. Once a student is checked in at the registration desk, receives their red Welcome folder, and has confirmed that no outstanding balances or forms are due, parents are free to leave. It’s up to the parent if they would like to go though the day with their student and attend the evening Stanford Jazz Festival concert. Commuter students who don’t want to attend the evening concert should arrange a meeting spot with their parent to pick them up after the welcome dinner, which ends around 7:00-7:30 p.m. We will have a student pick up zone located in at the end of the parking lot loop closest to Braun Music Center, which will be supervised by a counselor from 7:00-7:30 p.m.

Where to eat on the first day of Jazz Camp The most convenient place to go is Tresidder Union building, which is located near Braun Music Center, directly across the plaza from Dinkelspiel Auditorium. There you will find several options: CoHo, a coffee house that serves sandwiches, salads, and hot dishes; Jamba Juice; and the Treehouse, which serves pizza, burritos, and burgers. The best time to eat is after your have checked in to the dorm and finished the registration process.
Sunday evening Stanford Jazz Festival concert Stanford Jazz Festival concerts are public, general admission, ticketed events. Concerts feature Stanford Jazz Workshop faculty artists and guest performers. Each concert begins at 7:30 p.m. and lasts 90 to 120 minutes. Admission to Stanford Jazz Festival concerts is free for Jazz Camp participants Sunday through Friday of the week(s) they attend the program. Procedures on how to obtain free student tickets will be discussed at the 4:00 p.m. Welcome Meeting on Sunday. Stanford Jazz Festival tickets will go on sale to the general public in May, 2013. Parents and guardians who want to attend this Sunday evening concert or others during the week with their Jazz Camp student should purchase tickets in advance. The daily schedule, Monday through Friday All students Each morning, Monday–Friday, there will be a mandatory general meeting at 9:00 a.m. in Campbell Recital Hall, at which time each student will receive his or her daily schedule. Classes will be over by 5:00 p.m. each day, except for Monday and Tuesday evenings, when private lessons are scheduled between 5:30 p.m. and 8:30 p.m. Each Jazz Camp participant will have one 25-minute private lesson. Commuters will receive an e-mail with the time and date of their private lesson before Jazz Camp starts so they can arrange to be picked up following the lesson.
Commuters Commuter students are welcome to stay for the concerts and evening activities after the scheduled day classes have ended, although SJW does not provide any supervision for commuter students after classes are over. At the end of the day students can wait to be picked up at the 5:00 p.m. Jam Session held in the Campbell Courtyard, or at the student pick-up zone located on the parking lot closest to Braun Music Center. This area will be supervised by a counselor from 5:00-5:30 p.m. Monday–Thursday. If your student wants to stay later for the optional evening activities, please arrange an appropriate meeting spot with your child, such as the Braun Music Center lobby or the Coffee House (CoHo) in Tresidder Union.
Dorm Residents Dorm Residents will be supervised by our experienced and dedicated SJW counseling staff. Counselors will wake them each morning and take the students to breakfast and their 9:00 a.m. morning meeting. At 5:00 p.m., once classes are over, the counselors will have a daily check-in meeting in Campbell Recital Hall where they will go over that evening’s activity options and take roll. Students will then have free time and are encouraged to join in on counselor led activities or jazz festival events until bedtime. At the end of the night students must check in with the dorm duty counselor or attend the 10:00 p.m. check-in after the end of the concert if they want to attend the CoHo Faculty Jam. After 10:00 p.m. all students must be in their dorms or at the CoHo with the counselor on duty. Students who attended the CoHo Jam will be led back to the dorm by midnight. Counselors will do a final check-in at the dorm and then monitor the halls throughout the night.

Jazz Camp daytime events General Meeting: During the short morning meeting, students get their daily schedules and are notified of changes or special events during the day. Some general meetings also feature performances by faculty or visiting artists. Jazz Theory: In this class you’ll learn about jazz harmony, song forms, scales, and other concepts in music theory. There will be several different levels of this class, from beginning to advanced. Musicianship: This class will focus on ear training and rhythm exercises. Students will develop their listening and musical communication skills by playing by ear and sharing musical ideas with the instructor and fellow students. Masterclass: In masterclass, players of similar instruments will meet with a master faculty member to learn techniques and concepts that pertain to that instrument, as well as to listen to important recordings of great jazz artists. Afternoon classes: Alternating with their combo rehearsals, students will attend several special classes, including special artist presentations, faculty-led Latin jazz or funk jam sessions, and performance preparation classes.

Combos: Each student plays in a small combo directed by one of our faculty members. In your combo, you will work on improvising, performing as a group, and putting into practice the lessons you learned in Jazz Theory, Musicianship, and Master Class. Music will be provided. Jam sessions: Students are encouraged to participate in fun, no-pressure, staff-led jam sessions. This optional activity occurs between 5:00 p.m.–6:00 p.m. each day. Private lesson: Each Jazz Camp student will be scheduled for a 25-minute private lesson on Monday or Tuesday night of each week they attend. Students staying in the dorms will be informed of the time and place of their lesson when they arrive. Commuters will be informed by e-mail of their lesson date and time in mid-June.
Jazz Camp evening events Stanford Jazz Festival concerts: Every night during Jazz Camp except Friday, the Stanford Jazz Festival presents the best jazz artists in the world in concert, and Jazz Camp participants may attend with no additional charges. We urge Jazz Camp participants to attend these world-class events, because it’s an incredible opportunity to hear top jazz artists perform in quiet, comfortable settings. Plus, many of the performers are themselves faculty members, so hearing the teachers perform is a great way to reinforce the experience of Jazz Camp. Students attending the concerts must check in with the concert-duty counselor prior to the concert to be guaranteed a seat. Students will receive more specific instructions on the first day of camp regarding admission to the Jazz Festival concerts. The concert schedule and ticket information will be posted in May at this location: Coffee House Faculty Jam: After the Jazz Festival concerts on Monday through Thursday there will be a faculty jam session at the Stanford Coffee House (CoHo) in Tresidder Union beginning around 10:00 p.m. Jazz Camp participants, their parents, and their guests are invited to come hear our faculty play. Advanced students may be invited to play at the discretion of the faculty leader. Dorm Resident students will be able to attend this session with counselor supervision. Other evening events: In addition to the Stanford Jazz Festival concerts and CoHo jams, Jazz Camp participants have a variety of evening activities from which to choose, including: Supervised jam sessions Informal jam sessions Counselor-organized activities in the dormitories Practicing Free time Students will be able to practice in Braun Music Center on Wednesday and Thursday nights on a space-available basis, until 10:00 p.m. There may be activities in the dorms such as movies, sports, or games. On Thursday evening there is a dance held at the dorm. Counselors must be with Jazz Camp participants at all times after 10:00 p.m.: Stanford University policy specifies that no one under the age of 18 may be on campus after 10:00 p.m. without adult supervision.

Friday night events Friends and Family Dinner The Friday Night Friends and Family Dinner is an optional dinner open to all Jazz Camper friends and family. It’s buffet style, and held just prior to the beginning of the Student Showcase, from 5:30 p.m.–7:00 p.m. at Tresidder Union (directly across from Dinkelspiel Auditorium). The dinner includes a summer grill buffet as well as vegetarian options. While you dine, you can enjoy student combo performances, which begin at 6:00 p.m. on the Outdoor Stage. We recommend that friends and family who wish to attend reserve their dinner in advance by purchasing tickets during Registration at the merchandise table located in the Campbell Courtyard in Braun or by calling 650-736–0324. To guarantee your dinner reservation you will need to purchase tickets by Tuesday at noon. Tickets will also be sold at the door as availability permits.
Student Showcase Concert Coinciding with the Friends and Family Dinner, the free Student Showcase Concert is when Jazz Campers perform for their families, friends, and the general public. Formal attire is not necessary; most participants wear neat, casual clothes. Due to the large number of performing student combos, concerts are held in multiple venues, with staggered start times. A Concert Roster showing where and when each student will be playing will be posted in the Braun Music Center lobby prior to the Showcase, and online at www.stanfordjazz.org by noon that day. SJW staff and volunteers will provide schedule information to parents and audience members as they arrive at the venues. The performances at the Outdoor Stage at Tresidder Union will begin at 6:00 p.m. as part of the Friday Night Friends and Family Dinner, and the other three venues will begin at 7:00 p.m. Following the concert there will be an awards ceremony at 10:00 p.m. in Dinkelspiel Auditorium.
Jazz Camp Dorm Resident information Information on the location of the dorm buildings will be available in June, however exact dorm room assignments will not be available until one week before the start of camp. Once the information is available we will send out an e-mail that will include the Dorm Resident Information Pack. The packet will include the exact location of the Jazz Camp dorm buildings and directions for how to find them. The Dorm Resident Information Pack will also be available online.
Key deposit accepted beginning July 15, 2013 A key deposit of $135 will be required for all students staying in the dorms. We’ll send you an email containing a link to our online deposit site when it’s time to make your deposit. We will not be able to take credit card deposits before July 15 as credit card authorizations only stay active for a limited amount of time. This is only a deposit and your credit card will not be charged unless we notify you that your key has been reported missing by Stanford Housing.

Key return policy All keys must be returned directly to Stanford Housing — not to SJW counselors or office staff. SJW counselors and staff are not responsible for any lost keys. When you return your key to Stanford Housing you will receive a key return receipt. Please hold on to this, as you will need to refer to it if there is any discrepancy concerning your key. All keys are due to the housing office by 10:30 a.m. on Saturday morning. If keys are not returned by that time, Stanford will re-key the room and the $135 key deposit will be charged to your account.
Student Check-In/Check-Out Notification due June 15, 2013 Please notify us as far in advance as possible about which day you will be checking out, or if you plan to arrive or leave after regular check-in and check-out times. If you need to arrive a day earlier, you may arrange for a Saturday night stay over. Please e-mail us at
[email protected] in advance to let us know whether you will be checking out on Friday evening or Saturday morning.
Check-in procedure You may arrive any time between 12:00 p.m.–1:30 p.m. on Sunday to check in. Please note that the line is the longest right at 12:00 p.m. and tends to be shorter by around 1:00 p.m. Please be sure to check in into your dorm before you go to registration. Stanford Housing will have check-in tables located right outside the dorm where you will be able to check in and pick up your key. Counselors will also be on hand to help you with your luggage and guide you to your room. Once you get settled into your room please proceed to Jazz Camp Registration at Braun Music Center, which begins at 12:30 p.m. Be sure to bring your instrument and a pencil.
Check-out procedure Check-out is Friday, July 26 and August 2 from 5:00 p.m.–7:00 p.m. or Saturday, July 27 and August 3 from 8:30 a.m.–10:30 a.m. Jazz Camp ends with the Student Showcase Concert on Friday night. Students may check out of their dorms on Friday, before their combo performance, which may begin as early as 6:00 p.m. Or they may stay over Friday night and check out on Saturday morning by 10:30 a.m. All students who choose to stay over on Friday will need to be out of their rooms and in the dorm lobby by 8:30 a.m. Stanford Housing and counselors will be on hand to assist with check-out only during the times listed above. All students must be out of the building and return their keys to Stanford Housing by 10:30 a.m. Saturday morning.

Dorm Residents attending two consecutive weeks Students staying in the dorms for both weeks of Jazz Camp may need to check in and out of the dorms on the morning of Saturday, July 27, because the dorm location assignments can be different each week; however we do our best to keep students in the same room if possible. Counselors and Stanford Housing staff will be on hand to help students transport their luggage on Saturday, July 27. All returning students are encouraged to attend the Welcome Meeting at 4:00 p.m. on Sunday, July 28. Students do not need to retake any of the placement interviews unless they are registered on another instrument for Week 2, or they were unsatisfied with their placement from the previous week. If that is the case, students will need to visit the SJW main office between 12:30 – 2:00 p.m. All evaluation room assignments will be posted on the wall directly across from the office. Here students can find out where to go to sign up for their evaluation. Otherwise, our staff will assign them to classes that build on their first-week experience. All students staying over between Jazz Camp Week 2 and Jazz Institute for Youth will need to re-take the placement evaluation on Sunday, August 4.
Wake-up time and curfew There will be a mandatory wake-up time and curfew for all Dorm Residents, and counselors will conduct curfew checks in the dorms each evening. Students must wake up in time to be at class by 9:00 a.m. They must be back in the dorm by 10:00 p.m. for the curfew check-in. After curfew check-in, students have the option of attending the CoHo Faculty Jam Session when accompanied by counselors. Ignoring instructions from counselors, being late to classes or meetings, or breaking curfew can result in expulsion from Jazz Camp.
Meal cards Each Dorm Resident is given one electronic Meal Card that will cover food costs for the entire week. Lost cards should be reported immediately to a counselor or to SJW staff. New food cards need to be ordered and processed through University Dining, so please keep your card in a secure spot when not in use. Food cards may be used by Dorm Residents only. SJW food cards can be used at the Tresidder Union eateries (including Subway) and the Dining Halls. There are a few retail food services such as Jamba Juice and Peet’s Coffee that do not accept SJW Meal Cards. Participants should bring some spending money if they want to purchase food from other eateries. Counselors will review the food plan at the dorm meeting on Sunday at the 3:00 p.m. Dorm Resident Orientation.
Internet access Students may bring their laptop computers with them to Jazz Camp. The Stanford Residential Computing Office provides wireless or in-room Ethernet connections for a fee of $30.00 per week. There is no free WiFi zone on campus. Find out more information at: rescomp.stanford.edu/

Transportation and directions Directions to Jazz Camp Jazz Camp activities are held in Braun Music Center near Tresidder Student Union on the Stanford University Campus. Stanford, California, is about 35 miles south of San Francisco, and 20 miles north of San Jose. The campus is accessible from two major north-south highways (U.S. 101 and I-280) between San Francisco and San Jose. Googling Jazz Camp: The directions given by Google and other online mapping sites may not take you to the correct location. We recommend you enter the following address into your map search window in order to get to the Tresidder Union Parking Lot, which is the parking lot closest to Braun: 459 Lagunita Dr. Tresidder Union, Stanford, CA 94305 Driving from 101: Take the Embarcadero Road Exit and head west approximately three miles toward Stanford University. Cross El Camino Real to enter the Stanford campus. At this point, Embarcadero Road becomes Galvez Street. Continue to Campus Drive and turn left. Follow Campus Drive until Mayfield Avenue. Turn right onto Mayfield Avenue. At the next stop sign turn left and then make a quick right at the next stop sign into the Tresidder Student Union parking lot, which also serves Braun Music Center and Dinkelspiel Auditorium. Driving from 280: Take Exit 24 for Sand Hill Road. Keep left at the fork and follow signs for Sand Hill Road East. Keep right at the fork and merge onto Sand Hill Road. Go about 2 miles and turn right on Santa Cruz Ave. Take first left on Junipero Serra Blvd. At the second light turn left on Campus Drive East. At the next stop sign turn left on Mayfield Avenue. At the next stop sign turn left and then make a quick right at the next stop sign into the Tresidder Student Union parking lot, which serves Braun Music Center and Dinkelspiel Auditorium. From the Airport: Stanford Jazz Workshop does not arrange transportation for participants arriving or departing going to or coming from the airport. San Francisco International Airport (www.flysfo. com) and Mineta San Jose International Airport (www.sjc.org) are equally convenient to the Stanford University campus; check their respective web sites for information about ground transportation.

On-campus parking Parking on Stanford University is free on weekends and after 4:00 p.m. on weekdays. On weekdays, parking permits or hourly payment receipts are required for any parked vehicle. Paid hourly parking is available at several nearby lots. Please be aware that Stanford University strictly enforces their parking rules and their parking citations are expensive. Weekly parking permits may be purchased upon your arrival at campus for $25.00 from the SJW main office in room 232 B on the second floor of Braun Music Center. The permits are valid only in areas designated for Resident Student Permit lots including ‘EA’, ‘ES’, ‘SO’, ‘WE’ and ‘SJ’ parking. Weekly permits are not valid in ‘A’, ’C’, or ‘SH’ lots. The permit must be taped to the inside of the front windshield (on the driver side, in the lower left-hand corner). The permit will not work at any metered spot. All paid parking on campus is free on Saturday and Sunday and after 4:00 p.m. on weekdays. Resident students who are minors will not be allowed to drive during the workshop. Ground transportation from airports In case of late arrival: If you will be a dorm resident and will be arriving after 1:30 p.m. or a commuter and arriving after 2:00 p.m. on Registration Day, please call our office at 650-736– 0324 or e-mail us at
[email protected] as far in advance as possible so we can make late arrival arrangements for you. Participants arriving by air should fly into either the San Francisco (SFO, www.flysfo.com) or San Jose (SJC, www.sjc.org) airport. Stanford Jazz Workshop cannot arrange transportation for participants arriving at or departing from local airports. Public Transportation Caltrain. Caltrain is a commuter railway that stops near the San Francisco airport (SFO) and the San Jose airport (SJC). It stops at the Palo Alto station, which is the nearest station to Stanford. For more information on Caltrain’s schedule, visit www.caltrain.com or call 800-660-4287. To get to Caltrain from SFO, take the BART train from the airport to the Millbrae station, where you can catch Caltrain south to Palo Alto. Click here for more information about this connection.
