EMPLOYMENT OPPORTUNITY
ADMINISTRATIVE SUPPORT REQUIRED FOR LEARNER SUPPORT DEPARTMENT Continuing part-time position (18.75 hours weekly) commenting March 1, 2017
RESPONSIBILITIES:
Provide secretarial and administrative services to the Learner Support Department Respond to inquiries and act as resource/contact person for the department when dealing with staff, faculty and the general public Provide support documents for departmental meetings, advisory committees and special groups Compile background material for meetings, prepare agendas, attend meetings, record and distribute minutes Prioritize administrative work schedule and follow-up on assignments to meet deadlines Research and compile information in a useable format for reports and presentations Compose/prepare routine correspondence, prepare forms and reports Schedule meetings, practicum visits, sessional classrooms, appointments, etc. Provide data entry for course shells and schedules Liaise with Professional Development, Admissions Office, UPEI counterparts, etc. Maintain filing management system Arrange travel and hotel reservations for the department as required Perform clerical and routine accounting duties such as processing purchase requisition, travel claims, order forms, time sheets, etc. and assist with monitoring, tracking and reconciling of accounts Maintain accurate and detailed ISO records/documentation Other duties as may be assigned
QUALIFICATIONS:
Post-secondary diploma in business/office administration or an equivalent combination of education and experience coupled with three to four years related work experience Proficient in utilizing a range of computer applications including word processing (Microsoft Office Suite), spreadsheets and network applications Proven ability to work independently and as part of a team Well-developed interpersonal, communication (verbal and written), organization, editing and multi-tasking skills Demonstrated ability to maintain confidentiality and to exercise considerable amount of initiative and judgment in performing duties Demonstrated ability to work under pressure to meet tight deadlines Knowledge of educational principles and concepts will be considered an asset
