Course-Based Report Cards Overview The course-based type of report card organization refers to displaying student classes on the report cards by class course. A course is an additional setting available at the class level that allows classes at your school to be grouped into similar subject area groups. Courses A course is similar to a subject area. Both indicate the general content of a class. For example, an English class would be tagged as the “English / Language Arts” subject area and likely set as an “English” course. However, courses and subject areas serve different purposes. Subject areas are preset and reserved for standards tagging, whereas courses are customizable and used exclusively in the report card app. Course List You will need to compile a list of courses that your students take each year. When you create this course list for each grade level, you will need to ensure that each student is enrolled in exactly one class per course. If a student is enrolled in more than one class per course, only one class will appear on that student’s report cards. If a student is not enrolled in any class for a course, a blank will appear on that student’s report cards. You will also want to ensure you are providing all of the courses that students take throughout the entire school year. Once you have provided your list of courses for each grade level, your Engrade account manager will assist with creating the courses in your account. You may then assign the courses to the classes at your school. If you add new classes to your school which were not included in the original course list submitted to your Engrade account manager, you will need to contact your Engrade account manager to add the additional course(s) to your report card templates. Please note: Adding or changing courses mid-year may be allowed or disallowed at Engrade’s sole discretion and may incur an additional fee up to the same amount charged for report cards in the Agreement. Contact your account manager for more information. Course Order Along with the list of courses at the school, be sure to include in what order you would like the courses to appear on student report cards for each grade level. You may want the course order to be organized alphabetically, by term or by another method. Settings In addition to assigning a course to each class at your school, you will need to ensure that each class has the correct, numerical grade level set. If a class at your school has multiple grade level students enrolled, select one of those grade levels to assign to the class and inform your Engrade account manager of the classes in which multiple grade level students are enrolled. Teachers and/or administrators at your school will be responsible for maintaining the appropriate course settings for all existing classes and making the appropriate changes to all new classes for the remainder of the school year. As a note, if you change class courses or grade levels mid-year (especially to non-numerical grade levels), this may cause the class information to be removed from the student’s report card.
Why Course-Based? You may want to use the course-based type of organization if any of the following apply to your school: • All students in a grade level take exactly the same set of classes all year.* • The school intends to use standards-based report cards. • Classes must appear on a report card in a specific order and report card templates may include course names on the template images. * This is required for any use of course-based report cards.
