Non-School Hours Scheduling of Heating and Cooling
As we commence the 2014-2015 school year, we thought this an opportune time to reiterate the procedures for requesting heating, cooling and ventilation for before or after hours facility use. We want to ensure that non-school hour activities and events are comfortable for students, staff, and the community, so please take just a moment to review the following important information. Facility heating, cooling and ventilation (HVAC) systems are scheduled to accommodate only normal administrative and classroom hours, also known as ‘occupied’ periods. Occupied periods are considered to be Monday – Friday excluding holidays and breaks, 60 minutes prior to the school’s morning bell time until 90 minutes following school dismissal. Unoccupied periods include all times not defined as occupied. Scheduling HVAC systems in this manner will enable the district to conserve significant energy and resources. For HVAC needs during unoccupied periods, please refer to the procedures options below, which will enable us to provide reliable service to you, our customer. 1. For pre-planned events scheduled to take place during unoccupied periods, please submit a request a minimum of three (3) days in advance through the Maintenance and Operations work order system, SchoolDude. The work order must also include the exact date/s, starting and ending time and room number/s where the event is to take place. Without the advance notice and specific date/time/location information, correct scheduling cannot be ensured. 2. For activities that are unplanned, last minute and/or of short duration, schools may use the HVAC thermostat overrides provided within their schools. A list of school sites including the type and location of thermostat overrides is available. Please contact your school’s HVAC Technician or either Bo Bacon,
[email protected] ext. 28644, in the Maintenance and Operations Dept. and he will be happy to provide assistance. 3. For recurring events and activities planned well in advance (15 days or more), schools can enter the date, time and location of the event into Schedule FM. Maintenance & Operations will generate reports from Schedule FM on a bi-monthly basis to schedule HVAC systems to accommodate your needs. Because we generate Schedule FM reports only twice per month, the preferred option for events planned with little advance notice (less then 15 days) is option # 1.
