Lesson Plan #1 How to import an Excel file.

This lesson plan will demonstrate how to import Excel or csv files into the Mojo system. Prerequisites: 1. 2. 3.

You must know how to log into the Mojo system and click on the dartboard. You must have an excel file available for importing. You must have Excel on the computer you have the Mojo system installed on.

1.0 In order to simplify this demonstration, we have placed the excel file we want to import onto the desktop of our computer. If you are familiar with browsing files on your computer you would not need to do this. You can keep your excel files where appropriate. However, if you are NOT familiar with how to browse files on your computer, it is recommended to place your files on your computer’s desktop for ease of use. 1.1 Log into the Mojo system as you normally would. You must have your login status set to Owner or Manager in order to import files into the Mojo system. If you are the person who has purchased our service this has been set for you by default. If you have questions about this, search our Knowledge Base on our customer Portal or call technical support. 1.2 Click on the Dartboard button to get the to the list management part of our software. The Dartboard is located at the top left of our software. See Below

1.3 On your screen will be displayed your current lists and records within those list. To see the records in each list just double click on the list and the records will be displayed in the rows to the right. By default there may be an All List and a demo data list. The All list is setup to display all the records in ALL of your lists for viewing only. It is not meant to be used for calling.

1.4 Create or Select an Import Profile - Click on the Import button in the menu bar above your records. The following screen will appear.

1.4.1 At the bottom of this screen, you can create, delete, and select an existing import profiles to use. Import profiles are the saved settings specific to a type of data or lead provider file you have. You create import profiles for every different type of lead provider you may be using. For example, if you

get data from InfoUSA, you would create a profile for InfoUSA. If you get data from RedX (another lead provider), then you would create an import profile for RedX. Once you have created import profiles, you can use them over and over again. Import profiles save you time with you are importing the same type of file over and over. For this demonstration, we do NOT have any import profiles create so we will create one as part of this lesson. 1.4.2

Click Create Import Profile button – Step1 of the Import Wizard will appear. See below.

1.4.3 Click the OPEN-Browse to File button at the top right. A typical windows browser window will appear. Select the Desktop option on the left list of options. This will display all excel or csv files located on your desktop. In this lesson, we have a file named excel test import. Click on this file to select it. You will return back to Step 1 of the import wizard.

1.4.4 Data Displayed – If the file is either Excel or csv file then your data will be displayed in the bottom viewing window. This window will only display a few of your records and NOT all of them. Similar to a print preview, the display helps you verify you have selected the correct file and it is in the correct format for importing. In this lesson, when we look at the preview at the bottom it has F1, F2,F3,F4 etc as the names of the columns. In the first row of the data we see ID, Listing, Last Name, First Name, etc. This first row is the header of the file. The header is what your lead provider is using to name the columns and this information if helpful when importing in our next step. If you have this preview when you import your file then click the “Is the first line in your file a header? If so check the box.” This option is located below the file pathway in the top part of this screen. Once you check this box the header names will move up and become the names of the columns in the file preview (see below).

1.4.5 Now everything looks correct with our data. Click the Next button at the bottom. Step 2 of the Import Wizard will appear. Step 2 is where we “map” the columns of the data file we are importing to the corresponding data fields in the Mojo system. The top half of this screen shows the different fields you can map to listed down the left and right sides of the screen. The column headers are listed in the middle of the screen. To “map” the column headers to the Mojo fields you have two methods. You can click the header in the middle screen and “drag and drop” it in the corresponding Mojo field. You can also click the drop down arrow next to each Mojo field and select the corresponding headers. See below.

Listed below are very IMPORTANT notes about “mapping”

- You are only required to map ONE field at a minimum. This is the Phone 1 field. You can leave any or all others fields blank. - If you have multiple headers with phone numbers in them you will need to determine which headers contain the Primary, Secondary, and Third phone numbers. For example you may have Home, Cell and Work headers in your data file. If you want to call the Home number first you would “map” it to the Phone 1 field. When the dialer calls Phone 1 if it gets a no answer or other redial result then it will automatically call Phone 2. You may want map Cell to Phone 2 field. You may NOT want to use Work and not “map” it at all. - All phone number headers must contain a full ten digit number. If you have the area codes in one header and the seven digit phone number in another header you will need to contact your provider and ask them to merge the two fields. - If you have the Full Name in one field instead of having a First Name and Last Name header, “map” the Full Name to F Name Mojo Field. 1.4.6. Now we have completed our mapping, Click Next to goto the Step 3 of the Import Wizard. The screen below will appear. Step 3 is where you select an existing list to import this data into or create a new list.

In this example we have “Demo data” as an existing list. If I wanted to add these records in this data file to this list I would just click on the Demo Data title in the box at the top right. This would put the words “demo data” automatically in the “Type a list Name” box. In this example, we want to create a new list. We will type FSBO as the list name. Let’s assume the data file contains a list of For Sale By Owner records you have received from a list provider. In the group name I can enter some type of group designation that I can use in the future. Most customers enter a date as the group name.

1.4.7 Once you have typed in your List and Group Name, click the Next button. The following screen will appear. Type in a profile name for this import profile you have just completed. If you are using an existing import profile the name will automatically fill into the box. All of the mapping, list and group name settings will be saved for future use. For this example, we are going to type Redx FSBO for the profile name.

1.4.8 Set Removal Options – If this is your first time importing you may want to review the Removal Options. Removal options are selections you can make to “clean up” your data when it is importing. Click the Set Removal Options button. The following screen will appear.

Remove Null Numbers – this will remove any blank or empty records in your data file. Strip List – this will remove commas, spaces, etc from your phone numbers Remove Duplicate Number – This will remove any records in your data file with phone numbers in Phone 1 field that match any records in ANY of your lists. This will keep you from accidently importing a record of someone who you have already called. You should select “Keep – Old Record”. If you select “Keep – New Record” this will delete the Old record and import the new record. All information with the old record will be gone. Remove Local DNC Numbers – this will remove any matching records with phone number in Phone1 that match any phone number in your local DNC table. When you are calling any list you can click a DNC call result button. This will log the person’s number in a separate table called DNC table. If the file you are importing has any numbers matching the numbers in the DNC table, they will NOT be imported. Run Removal Options After Import – Most users check this option. Un -check this box if you do not want to run these options after importing. IMPORTANT NOTES - Once you have made these selections, you do NOT need to repeat this every time you import. These selections are saved and will be used every time you complete an import. - It is recommended you use all of the Options selected listed above. Click OK to get back to the Import wizard.

1.4.9 Click the Finish button to complete the import process. You will be asked to verify you want to complete the import process. Click Yes. You will see a progress bar indicating the status of the import process. Please note if you are importing a very large file this may take several minutes (about a minute per 500 records). Once the import process has completed you will see a report of what happened with the import. It will show how many null phone numbers, duplicate and dnc numbers were removed from the original file. Click the Exit button. This will return you to the Dartboard displaying your new list you have imported. See below. In this example, the FSBO list is displayed and all of the records from the data file we imported are displayed in the grid view.

1.5 Let’s do another import using this profile. For example, it is five days later and you have just received another lead file from your data provider and have saved it on your desktop. Click the Import button. The Import Profile screen will display. The profile we create previously is displayed. Double Click on this row to select it. You have selected this profile and Step 1 of the Import Wizard will appear.

Click the OPEN button and browse to your desktop and select the new data file.

1.7 Your data will be displayed in the bottom. The check box next to the header option will automatically be checked. Click the Next button 1.8 Step 2 of the import wizard will appear. All of your “mapping” settings you made previously with this import profile will be automatically completed for you. IMPORTANT – Verify that all of your “mappings” are correct before clicking Next 1.9 Step 3 will appear. The list name is automatically completed for you. If you want to create a new list different from the previous imports just type in a new name. Complete the group name and then click Next. 2.0 Click Finish and the import process will complete. Your new data has been added to your existing list or created in a new list depending on your selection in 1.9. Summary This should give you a good understanding of how to -import data into the Mojo system - create an import profile - use an existing import profile.
