Pediatric Chart Review Case Study

Situation

CSSi was tasked with a difficult pediatric IBS-C study, where the child experiences symptoms but is not necessarily diagnosed with IBS. This made diagnosis code searches ineffective, so it was a time-consuming process to identify eligible study patients. Sites were frustrated with the difficulty of identifying a prequalified patient and their enrollment was lagging.

Solution

The sponsor requested that supported sites employ the services of CSSi’s Local Enrollment Specialist (LES) team, to conduct on-site visits and chart reviews. Within two weeks' time, the LES team had introduced themselves to the sites and developed an all-encompassing enrollment plan for each individual site.

Results

Of the 55 study sites, 33 sites were supported by the LESs. These sites screened 16 times more patients than the 22 sites that did not use the LES services. The majority of the patients screened came from each site's practice through the initial database search.

Site-Specific Results: The LES became familiar with the EMR system prior to the site visit. Within a matter of hours of being on site, the LES was able to perform a sponsor-provided service of a comprehensive chart review from hundreds of potential patients. Initially, 65 patients met the inclusion and exclusion criteria, and of those, 10 patients were marked as a “priority to screen”.

Of the 10 priority patients, 4 patients went on to screen into the study - all of whom were identified by the LES within a few hours’ work!
