LinkPoint ReCAPP Pilot Program Setup Guide for Organization Admins
Overview About LinkPoint ReCAPP LinkPoint ReCAPP is the latest sales productivity solution for Microsoft Exchange and Salesforce users from LinkPoint360. LinkPoint ReCAPP will make it simple and seamless for sales reps to sync the information gathered from sales meetings into Salesforce as soon as the meeting ends and in the exact format the company wants. Organizations choose quick-to-answer, standardized questions based on the details important to how they do business with opportunities and existing clients. Sales reps provide answers in just minutes via mobile device or web browser. LinkPoint ReCAPP sends the data to the related records in Salesforce for review and reporting.
About the Pilot Program The LinkPoint ReCAPP Pilot Program is designed to give select customers advance access to the tools and services provided in the beta version of LinkPoint ReCAPP. As part of the Pilot Program, the LinkPoint360 Professional Services Team will be providing additional support and configuration services to ensure a complete experience for all end users. The setup of your instance of LinkPoint ReCAPP can be broken into four main parts:
Submitting the Completed Implementation Plan You will be asked to review the Implementation Plan including a core set of questions designed to capture consistent, accurate feedback from sales reps within the LinkPoint ReCAPP application. LinkPoint ReCAPP Organization Admins must review and finalize the questions that will be made available to end users and predefine the answers for end users to select. Once complete, return the document to your Account Executive.
Provisioning the LinkPoint ReCAPP Account A member of the LinkPoint360 Professional Services team will review the completed Implementation Plan and create your instance of LinkPoint ReCAPP. The team will then set up your LinkPoint ReCAPP account by populating the system with the question and answer sets provided. You will have the opportunity to review the configuration and confirm that the system is ready according to your expectations.
Inviting End Users to LinkPoint ReCAPP As the LinkPoint ReCAPP Organization Admin, you will log into your instance of LinkPoint ReCAPP and invite end users to begin using the application. Individuals will receive an email from the LinkPoint ReCAPP system, prompting them to go to the LinkPoint ReCAPP website and connect their Salesforce and Exchange accounts to the system. A follow up email, sent once the connections are complete, will guide the end users to download and install the LinkPoint ReCAPP application on their mobile device.
Configuring Your LinkPoint ReCAPP Settings Each Organization Admin will also have a user account which they can use to connect their instance of Microsoft Exchange and Salesforce to use the LinkPoint ReCAPP tool.
About the Set Up Guide This guide is designed to highlight the aspects of the LinkPoint ReCAPP configuration and set up that are the responsibility of the Organization Admin during the course of the Pilot Program. Please carefully review this document. If you have not done so already, be sure to submit the completed Implementation Guide to your Account Executive.

Getting Started with LinkPoint ReCAPP Logging In and Out of the LinkPoint ReCAPP Web Portal LinkPoint ReCAPP user management is based in a Software-as-a-Service (SaaS) web portal. Organization Admins and end users can access account and user details easily via any web browser. In this section, you will learn how to log in to and out of your LinkPoint ReCAPP account via the web portal.

Tip: For first-time access by an Organization Admin, the LinkPoint360 Professional Services Team will provide you with a password. You will be able to change your password later in the process.

Integrating with LinkPoint ReCAPP Understanding the LinkPoint ReCAPP Integration LinkPoint ReCAPP is designed to use information from meetings scheduled in Microsoft Exchange to prompt end users to answer predefined questions using standardized answer options. The answers to these questions are then pushed to Salesforce as part of the integration. In order for the data to move between the systems and the LinkPoint ReCAPP mobile application, each end user must enter their Microsoft Exchange and Salesforce credentials via the LinkPoint ReCAPP web portal. Organization Admins who do not anticipate using the LinkPoint ReCAPP mobile application still need to establish the connections in order to be able to import end users to LinkPoint ReCAPP from the CRM. Functionality highlights include: • • •
See Microsoft Exchange meetings that include attendees within the LinkPoint ReCAPP web portal and the LinkPoint ReCAPP mobile application. Email Meeting ReCAPP and ReCAPP Summary content automatically to the Organization Admin and the end user’s Team Administrator, where applicable. Push LinkPoint ReCAPP content to the related object in Salesforce, such as Opportunities, to see ReCAPP data in the CRM.

LinkPoint ReCAPP Pilot Program Setup Guide for Organization Admins Completing the Setup Wizard The first time any user logs into the LinkPoint ReCAPP web portal, the user will be prompted to complete the Setup Wizard. The Setup Wizard is designed to walk each user through the information needed in order to establish their Profile and the connections between Microsoft Outlook, Salesforce, and LinkPoint ReCAPP. In this section, you will learn how to complete the Setup Wizard.

Review the information on the Edit User screen. Confirm that the information is populated correctly and add any additional information in the available fields. Click Next to continue.
Tip: Some fields, such as CRM Host and Email Host, are locked for editing based on your account settings and your level of permission in LinkPoint ReCAPP. For first time user Organization Admins, the only available option for the Team drop-down list will be Default. You can change this once you complete the Setup Wizard.

Click the Connect button in the Edit Salesforce Configuration screen. The Login URL will be set to Production by default and in most cases should not be changed.

LinkPoint ReCAPP Pilot Program Setup Guide for Organization Admins Tip: A failed connection to Salesforce is often caused when the user enters incorrect credentials for Salesforce or does not click the Allow button to provide LinkPoint ReCAPP with access to the Salesforce account.

Enter the password for your Microsoft Exchange account in the Password and Confirm Password fields. Click the Finish button to continue.
Tip: Be sure to have your Exchange account password on hand for this step. Many users encounter connection errors when they enter incorrect password information. This password is typically different than the credentials you use to access Salesforce, your computer, or other applications. If you are not sure about your Exchange password, check with your in-house Exchange Admin prior to completing this step. Tip: The checkbox for the Use Exchange Autodiscover Service will be selected by default. Leave the checkbox selected unless your organization has Autodiscover disabled for your Exchange account. Autodiscover enables third-party applications to connect to Exchange accounts automatically using the credentials provided by an end user. Autodiscover is enabled by default by most organizations. However, some companies disable this feature to prevent unauthorized access to their Exchange servers. If your Autodiscover Service is disabled or you have difficulty connecting your Exchange account to LinkPoint ReCAPP, contact your in-house Exchange admin and request your Exchange Web Service URL and Exchange Version. Deselect the Use Exchange Autodiscover Service checkbox and enter the information provided by your in-house Exchange admin in the corresponding fields.

Review the User information in the first section of the page.
Field
Definition
Email Address
The email address that the user will use to log into LinkPoint ReCAPP and receive notifications from the system.
Time Zone
The time zone where the user is working. This setting is used to manage when the sync operations are run for that particular user.
Organization
The company that will be using the LinkPoint ReCAPP system.
Job Title
The job title or function of the individual, populated during the set up process.
Team
The group of end users that the individual belongs to. This will be set to Default when the LinkPoint ReCAPP account is first created. Teams are useful for grouping users with similar responsibilities who will work with the same set(s) of questions.
Team Role
A secondary grouping of end users. Team roles are useful if there are subsets of users within a Team that will work with the same set(s) of questions. For example, 30 end users may be on the Sales Team, but only 3 of them may be Managers.

Security Role
The level of permission to make changes and manage the LinkPoint ReCAPP system. Organization Administrators have permission to make edits across the system to all end users. Team Administrators have permission to make edits to the end users on their team. End users only have the access to change their own Profile details.
CRM Host
The CRM type that will be integrated with the LinkPoint ReCAPP account.
Email Host
The email application type that will be integrated with the LinkPoint ReCAPP account.
Enabled
This flag indicates whether the end user profile is active.
Created & Last Modified
These fields reflect the date that the Profile was created and/or last modified within the LinkPoint ReCAPP account.
Review the Hosts section on the Profile page. Note that you have the ability to see your connnection status for both the CRM Host and Email Host. Click the Edit icon to edit the credentials. Click the Delete icon to disconnect. You can click on each Host name to view the connection details.

The number of meetings in Microsoft Exchange that are related to the ReCAPP.

An indicator as to whether the ReCAPP is not started, in progress, or completed.

Decks are sets of predefined questions available for use by an end user within the LinkPoint ReCAPP mobile application. Note that this section will include the default deck(s) for the Organization Admin Profile when the LinkPoint ReCAPP account is first created. This section will display all of the decks that have been made available for the specific end user.

Tip: The Delete option in the Action column for the Subscribed Decks on an end user profile does not delete the deck from the LinkPoint ReCAPP system. Click the Delete icon to disassociate the deck and the specific end user. This will stop the system from presenting that set of questions and answers to the end user. Inviting End Users Overview LinkPoint ReCAPP Organization Admins can centrally manage all of their subscription end users via the LinkPoint ReCAPP web portal. Each end user is invited to participate in LinkPoint ReCAPP via an automated email from the system. The end user is prompted to connect their Microsoft Exchange and Salesforce accounts to their LinkPoint ReCAPP Profile via the Setup Wizard and to download the LinkPoint ReCAPP application to their mobile device. Each end user can be enabled or disabled by the Organization Admin from the web portal. End users can be added to a LinkPoint ReCAPP subscription via one of two methods: Invite by Email or Import from CRM. In the following sections, you will learn how to add users to your LinkPoint ReCAPP subscription and how to organize them into Teams. Tip: End users cannot be deleted from the LinkPoint ReCAPP system once they have been added or invited to the account. This is a security feature in place to ensure data integrity for any information that may have been captured by that end user. Organization Admins can select Users on the navigation pane and then select the Edit icon in the Action column for any user in the End User section. Deselect the Enabled checkbox and click the Save button to disable the end user profile. Warning: We highly recommend that you do not invite any end users to the account until your question decks and answers are completed and finalized. Once end users have access to LinkPoint ReCAPP, they will be able to configure their own Profiles, download the mobile application, and begin to answer questions for their related meetings. Inviting end users prior to finalizing the question decks can cause confusion for end users or result in inaccurate or inconsistent data capture if they begin to use a group of questions that are not finalized.

LinkPoint ReCAPP Pilot Program Setup Guide for Organization Admins Understanding End User Settings LinkPoint ReCAPP Organization Admins by two different methods: invite by email or import from CRM. In either case, the Organization Admin has the ability to set each end user’s Team, Team Role, and Security Role. When adding end users to LinkPoint ReCAPP, assigning their Team, Team Role, and Security Role during the invite or import process is the most efficient way to ensure that each user is grouped correctly. In order to have Teams available for selection in the import or invite process, each Team must be created in advance. The following content will demonstrate the differences between settings and provide examples for using Team, Team Role, and Security Role. Teams are groups of end users that may have similar responsibilities or job functions that would cause them to benefit from receiving similar questions and answer options within the LinkPoint ReCAPP mobile application. For example, everyone in an organization that works on account retention would benefit from using the same series of questions to measure customer satisfaction and identify areas for potential upsell. Team Roles are a secondary grouping, or subset of end users, that may have more specific similarities beyond the items that align them with a Team. For example, several members of the Account Retention Team may be responsible for EMEA accounts and would benefit from an additional set of more specific questions related to their dealings with European customers. In this case, their Team would be Account Retention and their Team Role would be EMEA. Security Roles reflect the level of permission that each end user has within the system. There are three default options to choose from: Organization Administrator, Team Administrator, and Standard User. •
Organization Administrators have access and edit permissions for all account and end user details as well as all of the ReCAPPs and related Meetings that have been captured by all end users in the account. These can be accessed using the navigation pane. Organization Administrators can initiate reset password requests for anyone within their LinkPoint ReCAPP account.

Team Administrators have access and edit permissions for all end user details and visibility into all ReCAPPs and related Meetings for all end users on their assigned Teams. These can be accessed using the navigation pane. Team Administrators can initiate reset password requests for their team members only.

Standard Users are basic end users that have access only to their personal Profile details and their own ReCAPPs and related Meetings.

Locate the Teams section. New accounts will include a Team named Default.
Tip: Teams cannot be deleted if there are end users assigned to them. Since the Organization Admin is automatically assigned to the Default Team during the setup process for the account, the team must be renamed or the Profile must be reassigned before deleting the Default Team.

Change the Name in the Edit Team window and click the Save button when finished. Click Close to return to the Organization page.

Note that the Team name is updated in both the Team section as well as in the Team column of the End Users section next to the Organization Admin.
Tip: The name is updated for all end users assigned to that Team when you update a Team name.

Click the Create option in the Teams section to add a new Team to the account.

Enter the Name in the Create Team window and click the Save button to continue. Make sure that the Enabled checkbox is selected in order for the Team to be an available option when adding end users. Click Close to return to the Organization page.

Note that the newly added Team is added to the list in the Team section. Continue to follow these steps to add all necessary Teams to prepare to invite end users.

Enter search criteria in the Search field and click the Search button. You can search by a user name (such as Fred Johnson) or by a Profile name (such as Sales).

Select the Security Role that you want to assign all of the selected end users to within LinkPoint ReCAPP.
Tip: The same Security Role may not apply to all of the end users on a specific Team. The majority of your end users should be assigned the Standard User Security Role. If you are importing an entire team, and one end user should be designated as Team Administrator, assign all of the end users the Standard User Security Role. When you are finished the import, you can manually edit the single user who should be a Team Administrator and change their Security Role.

Using the LinkPoint ReCAPP Mobile Application LinkPoint ReCAPP settings and end user administration is managed in the LinkPoint ReCAPP web portal. Once account configuration and end user invitations are complete, the LinkPoint ReCAPP experience shifts to the mobile application. All end users, including Organization Admins, receive an automated email once they have configured their Microsoft Exchange and Salesforce accounts with instructions regarding the download and set up of the LinkPoint ReCAPP mobile application.
