The supervision of the College CDA/CA/Admission teams. Set up and maintain the Curriculum Course File and ensure accurate and timely submission of all funding returns. Provide reports as required by the college managers

Summary: The post holder will ultimately be responsible to the MIS Manager. They will be responsible for the day to day supervision of the Admissions, Curriculum Administrators, and Curriculum Data Administrators teams based in the Curriculum areas, ensuring standardisation of processes, and providing necessary training. They will ensure the accuracy of the College’s data, meeting all return deadlines and maximising funding by correctly coding all aspects of the Individualised Learning Record (ILR, provide regular reports required to assist in management making informed decisions. Communication with College staff is essential, together with attention to detail, accuracy and timeliness, to provide an outstanding level of customer service. Duties, Responsibilities and Accountabilities 



 

Line manage the Curriculum administration teams and assist in developing their full potential through annual review, ensuring data is input in an accurate and timely manner with an understanding of the implications on funding. Plan and organise own work and that of the team within set objectives and guidelines. Monitor and evaluate developments in the Learner Information Systems (LIS), making frequent recommendations to the MIS Manager. Ensure efficient and up to date administration systems are in place, including maintenance of computerised instruction manuals for the team. Responsible for the update and maintenance of the provision database and the production of the fees lists, ensuring correct hours and qualification aims are entered. Responsible for the submission of all funding returns to relevant funding organisations ensuring error correction (via DSAT and LIS software), adhering to strict deadlines set in accordance with relevant rules and funding methodology.

Ensure internal audit checks are carried out on student records to ensure accurate data is maintained, providing feedback to relevant managers and staff. To play a key role in the planning of major enrolment events. Establish effective working relationships with external bodies, eg. SFA,EFA, College internal and external auditors, co-ordinating all relevant records to enable audits to take place in an efficient manner. Contribute towards the departments Self Assessment and review process. To identify and help develop systems for regular reporting of statistics and student performance and to assist with project work aimed at developing new statistical applications Work with the MIS Manager to improve data quality on the Student database, to increase efficiency and meet new requirements both from users and to meet the strategic aims of the college. Assist the MIS Manager to ensure all relevant data is easily available to staff via the REMS Portal or Sharepoint. To undertake any duties as directed by the MIS Manager.

(1) Qualification: A*-C GCSE Maths and English or equivalent Level 2/3 associated qualification (2) Knowledge to include: Demonstratable understanding of College funding returns Demonstratable understanding of maintenance of provision/course offer Understanding and awareness of Further and Higher Education Funding Methodology Proficient in the use of Microsoft Office products (3) Experience to include: Line management of staff Working with Curriculum staff to translate Curriculum plans into Electronic Course Offer Organising audit checks Experience of Corero Student records database (4) Skills and Attributes to include: Experience of effective planning within an administrative setting Excellent interpersonal skills working with staff at all levels of an organisation A methodical and organised approach to prioritising and planning workload The ability to meet deadlines Establish effective systems and procedures to meet targets

General The job description sets out the main duties of the post at the date when it was drawn up.
