JOB SUMMARY: Reporting to the Executive Director, the Program Operations Coordinator will provide operational support to Unicorn Children’s Foundation’s Executive Director/Director of Programs to coordinate all programs and services of the Foundation. This is a dynamic position that includes finance and accounting, fundraising and development, and program support responsibilities to ensure that the team has the resources and materials necessary to implement successful programs that help kids with special needs excel in the community. Responsibilities include: Quality Assurance, Program Evaluation, Grant Writing, Program Marketing, and Program Compliance with investors, accrediting agencies and other appropriate standards. This is a part-time, non-exempt position.

ESSENTIAL DUTIES & RESPONSIBILITIES:          

Create and maintain comprehensive project documentation, plans and reports Use project management tools to monitor project scope, budget, timeframes, and working hours Implement, monitor, and submit program outcome reports as required by funders to assure all programs, grants, and contracts are meeting performance standards which have been established through all contracted services Collect and effectively communicate information to and from assigned program teams and vendors Support the team in administrative functions related to development, including generating acknowledgment letters, assisting with correspondences, and maintaining all contact management databases and systems Assist with event and program preparation, planning and execution Assist with writing grants and soliciting financial support in response to available funding opportunities. Gather statistics and data to create various reports related to program evaluation and fundraising Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies Conserve Executive Director’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications 1

Maintain Executive Director’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel Represent the Executive Director by attending meetings in the executive's absence Perform other duties as assigned by the Executive Director

QUALIFICATIONS The Program Operations Coordinator will have at least 3 years of professional experience in the special needs/disability arena; ideally 5 years of experience in the non-profit sector. The Program Operations Coordinator will have the following experience and attributes: 

Proficient in Microsoft Office (Outlook, Word, Excel, Project and Power Point), Adobe Acrobat, Customer Relationship Management Software, and Social Media web platforms



Solid organizational skills; able to balance multiple tasks and deadlines while also being highly detail-oriented in a fast-paced environment



Highly resourceful team-player, with the ability to also be extremely effective independently



Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response



Demonstrated resourcefulness in setting priorities, proposing new ways of creating efficiencies, and guiding investment in people and systems



Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders, including staff, board members, external partners and donors
