Introduction
Introduction This guide outlines recommended workflow methods for integrating Adobe Premiere Pro with EditShare storage and media asset management products. Setup information for both Adobe Premiere Pro and EditShare products are provided below, covering media and project sharing, as well as the use of EditShare Flow with Adobe Premiere Pro. This guide has been designed specifically for administrators planning a system based around Adobe Premiere Pro and EditShare, and to serve as an introduction for editors using the system.
Overview of EditShare Workflow Systems EditShare is an industry leader in providing collaborative workflow solutions for large and small television and film production operations around the world. EditShare products include video capture and playout servers, high-performance central shared storage for audio and video files, archiving and backup software, as well as databasebacked media asset management. Our philosophy is to make products that are easy to learn, easy to manage, and that guarantee a fast and efficient workflow.

EditShare Shared Storage Central to most EditShare installations is our highly scalable yet affordable storage that can grow from a few Terabytes all the way to multiple Petabytes. Unlike many SAN solutions that require costly and fragile fiber channel connectivity, EditShare storage operates with standard Gigabit and 10 Gigabit Ethernet, including the new 10GBaseT technology that supports 10 Gigabit throughput over standard and economical CAT6 cables. EditShare storage systems provide industry-leading stream counts and compatibility with all the leading NLE products such as Adobe Premiere Pro, Avid Media Composer, Apple's Final Cut Pro, Grass Valley Edius and Sony Vegas. All EditShare storage systems include patented or patent-pending technologies that allow editors to safely share both a common pool of media files as well as the project files containing bins, sequences and media.
Ingest With EditShare storage in place, now you can connect the rest of our workflow products to the network. Geevs and Flow video servers talk directly to EditShare storage, so your baseband SDI and file-based ingests are immediately accessible to all connected users on the network. Capture is controlled by your Mac or Windows workstation, but because the data travels directly from the video server to the central storage, you don't have to tie up your workstation during the capture. You can ingest in a wide range of industry standard and Adobe Premiere Pro compatible codecs such as DV25, DVC Pro, DV50, DVC Pro HD, XDCAM-HD, AVC-intra, DnxHD and ProRes, and in either QuickTime or MXF wrappers. With many codecs, you can enable "edit-while-capture" which lets editors start cutting a clip in Adobe Premiere Pro or other NLE's, seconds after recording begins. And for sites that work with both Avid and QuickTime-based files, Flow ingest offers our unique Universal Media File format that makes a single file look like both native Avid op-atom and native Quicktime at the same time.
Asset Management Information about everything captured by Geevs or Flow goes directly into the Flow Media Asset Management database. Small low resolution proxy files are created in real time so you can play back all your clips in Flow Browse without using up too much network bandwidth. If you prefer to use Adobe Premiere Pro to do your capturing, you can ingest directly to EditShare central storage through a Blackmagic, AJA, or similar I/O card. Flow can then scan those clips to get them into the database and produce proxy files. Once in Flow, you can browse your clips, create log entries and markers and add custom metadata, search for clips based on the metadata, organize clips into folders and drag and drop the results into your Mac or Windows Adobe Premiere Pro application, where your clips, bins, subclips, and sequences will now link up to the original high resolution files.

Adobe Premiere Pro Workstation Setup
Backup and Archive The suite of EditShare of products is completed by Ark, a backup and archiving tool that seamlessly integrates with the rest of the EditShare product lines. With a few mouse clicks, you can create safety backups or long-term archives of all your media, or get the clips you need back into Adobe Premiere Pro.
Adobe Premiere Pro Workstation Setup To get the full benefit of EditShare's integration with Adobe Premiere Pro, on each workstation, your system administrator should install two separate EditShare client applications, EditShare Connect and Flow Browse. Users will be required to enter their EditShare usernames and passwords in order to log in to these EditShare applications. Editshare Connect allows users to: •
See a listing of the Media Spaces and Project Spaces on EditShare central storage that they are authorized to access
•
Mount those Spaces on their local workstation
•
Create and manage Shared Projects in the Project Browser section of EditShare Connect.
•
Change their EditShare password (if enabled by the EditShare administrator)
Flow Browse is Media Asset management client software, which allows users to: •
Browse video clips

Add metadata
•
Perform file ingests
•
Create sequences
•
Drag and drop clips and sequences into Adobe Premiere Pro Projects.
To prepare a client workstation for use with Adobe Premiere Pro and EditShare, do the following.
TASK 1 Install Adobe Premiere Pro, and then apply the latest updates. 2 If necessary, install the latest version of NVIDIA CUDA for your graphics card. 3 Install the EditShare Flow Browse and EditShare Connect software (administrator level access required).

EditShare Media Spaces Media Space Design and Usage Media Spaces are network shares located on the EditShare Storage server that contain your media files. There are a number of types of media spaces, each of which have different structures and permissions. Adobe Premiere Pro can read from and write to both Managed and Unmanaged Media Spaces. It is important to understand how the rules of these two EditShare Media Space types differ. In a Managed Space, media files are owned by the user who created them, and are readonly to all other users. Adobe Premiere Pro will play back media files from a Managed Space perfectly well, even if it only has read-only access to some or all of them. Another key rule of Managed Spaces pertains to folders; while all users can write files into any folder in a Managed Space, the moment a folder is no longer empty, the folder becomes owned by the EditShare Administrator. It is not possible for ordinary users to rename, move or delete a folder that has content that may belong to that user or others. If you need to rename or delete folders that are not empty, or delete files that do not belong to you, a Managed Space can be put into ‘Maintenance Mode’ by the EditShare Administrator, which gives temporary administrator privileges to that space to one selected user. In an Unmanaged Space, there are fewer restrictions: all files are readable and writable by everyone, allowing anyone to delete or modify any file. In addition to the basic rules described above, you can restrict selected users of Managed and Unmanaged Spaces to 'read-only’ access. All files and folders in that Space will be read-only to that user, meaning the user will not be able to create, modify, move or delete any of the files or folders. Both of these Media Space types are valid for use with Adobe Premiere Pro, and each has its own advantages and disadvantages, depending on the user workflow. Managed Spaces guard more against the risk of accidental deletion, while Unmanaged Spaces provide more flexibility for everyone to delete and organize media files as needed. With Adobe Premiere Pro, EditShare generally recommends using Managed Spaces for source media files, and Unmanaged Spaces for render files. This provides the best protection for source media files with the flexibility to clean up render files, which can be recreated with relative ease, if necessary. Sometimes you may want to use Adobe Premiere Pro with EditShare Avid Style Media Spaces. Avid Style Spaces have similar rules to Unmanaged Spaces, except they emulate native Avid storage when connected to Avid NLE applications. As a rule, you should probably avoid configuring Adobe Premiere Pro to write to Avid Style Media Spaces. However, if your workflow includes both Avid and Adobe Premiere Pro editors, you can export an AAF from any Avid sequence that has its media on an Avid Style space, then import it into Adobe Premiere Pro and the sequence and media should just link up. Note this only works with MXF files in specific codecs such as DV25, DVC Pro, DV50, DVC Pro HD, XDCAM-HD, and AVC-intra. For example, DnxHD is not currently supported with this workflow. You should always avoid using Avid MXF Media Spaces with Adobe Premiere Pro, as these are designed specifically for editing Avid media with Avid NLE applications. The Editshare storage should be divided into a number of Managed or Unmanaged Media Spaces using the EditShare Manager tools provided in the EditShare Workflow Director. It is usual to divide media into separate Media Spaces for each project, making it easier to assign user permissions and manage your media when projects are complete.

EditShare Media Spaces
Considerations for Media Sharing You can share media and projects between multiple Adobe Premiere Pro workstations running Mac OS X or between multiple workstations running Windows but you should generally avoid sharing between Windows and Mac workstations. There are currently several limitations with shared projects when you run multiple Windows clients, or a mix of Mac and Windows clients: •
If you work with the same projects on multiple Windows clients, each client must assign the same drive letter for a given Media Space. Adobe Premiere Pro and Windows are sensitive to the exact path name defining the media file location. If the drives are mounted on different drive letters, the paths will be inconsistent and users will have to re-link your media. To assist you in keeping drive letters consistent, EditShare Connect for Windows remembers the drive letters you assign to Media Spaces. So, if you assign drive letters correctly the first time, each subsequent time you sign into EditShare Connect, your Media Spaces will re-mount correctly. In a future release, EditShare will include a Projects Profile feature, allowing users to mount the same Media Spaces using consistent drive letters.
•
If you open the same Adobe Premiere Pro project on both Mac OS X and Windows clients, you will need to re-link the media files each time you open them, as the paths to the media will be different. On Windows, the path to a file might be something like Z:\Clips\Day1\firstshot.mov whereas on Mac the path would be /Volumes/ SpaceName_1/Clips/Day1/firstshot.mov. Adobe Premiere Pro on Windows and Mac would not see these paths as the same.
•
Render Files are not cross-platform compatible, so if you open the same Adobe Premiere Pro project on Mac OS X and Windows workstations, Adobe Premiere Pro will discard the files and you will have to re-render them. This is a current Adobe Premiere Pro restriction.
Creating Media Spaces To create a Managed Media Space, do the following.
TASK 1 Open EditShare Storage Manager, and double-click on the desktop icon for the Media Space type you require, e.g. Managed, Unmanaged.

EditShare recommends that you use the AFP protocol for best performance. There may, however, be certain reasons to use SMB, but you will need to install the Thursby DAVE application (from Thursby Software Systems) to improve performance. 8 Click the ‘Add Media Space to System’ button.

EditShare Media Spaces
Adding Users and Groups to Media Spaces To add Users or Groups to a Managed Media Space, do the following.
TASK 1 In the panel marked ‘Add Users and Groups to Media Space, select the Media Space Name from the drop-down list. 1

Mounting Media Spaces When a user logs into EditShare Connect with a valid user name and password (supplied by the EditShare Administrator), the user will see a list of all EditShare Spaces they have access to and be able to mount those Spaces on their workstation. To mount Media Spaces, do the following.
TASK 1 Open EditShare Connect and login with your user name, password, and the IP address of the EditShare Storage server. 2 Click on the Network Shares tab.

3 Click on the Managed or Unmanaged bar. The Managed or Unmanaged Media Spaces available to that user are displayed. 4 Mount one or more Media Spaces using the drop down box next to each space name. On Windows, you will be mounting a space by selecting a drive letter. In OS-X, you will be mounting by selecting a network protocol, either DAVE SMB or AFP. Note: When sharing media with Adobe Premiere Pro on multiple Windows workstations, it is important that you mount each Media Space at the same drive letter on all Windows workstations to avoid changing the media file paths and having to re-link media. See “Considerations for Media Sharing” on page 9. 5 After mounting, the Media Spaces will show up as network mounts in the Windows Explorer or Mac OS X desktop. The Media Spaces can be browsed and used as media drives in Adobe Premiere Pro. 6 Click ‘Save Current Setup’ to store the mounted spaces, and the drive letters they are mounted to (Windows).

Lockable Project Spaces
Lockable Project Spaces EditShare Lockable Project Spaces allow you to safely store and share multiple Adobe Premiere Pro project files in a central location that can be accessed and written to by other users at the same time. In this workflow, Adobe Premiere Pro project files are not stored in the same place as media files and render files, but are stored separately in an EditShare Lockable Project Space where EditShare rules ensure each project file can only be opened for writing by one user at a time. When you make a new project in a Lockable Project Space, you are creating a top level Project Folder where you and your colleagues will store the various files that make up the entire Project. Thus large projects are broken down into smaller ones so that each editor has control over the portion of the project they are working on. For example, one editor can work on Scene 1 while another editor works on Scene 2. Both scenes are part of the same movie, but each scene is represented by a separate Adobe Premiere Pro project file. When you want to work on a particular project file, you unlock it - giving you exclusive write access to that file, and locks it (makes it read-only) for other users. Even though a project file may be locked for other users, they can still have read-only access to your project file, allowing them to play and review its contents. Users can also import elements from locked project files into project files they control. The only thing they cannot do is modify a project file while somebody else has it open for writing. You can also use the Adobe Premiere Pro project browser to collaborate with other users, and lock project files from other Creative Suite applications such as Adobe After Effects.
Creating a Lockable Project Space Do the following:

Mounting a Project Space Do the following.
TASK 1 Login to EditShare Connect. 2 Mount the Project Space from EditShare connect by selecting a drive letter (Windows) or a network protocol (OS X). 3 Select the Project Browser tab. The Project Browser displays.

4 Click the New Project button to create a new project container within the Lockable Project. You must make a new project container in a lockable space before you can save Adobe Premiere Pro Project files in it. You can optionally make subfolders within the project container to organize your project files, e.g. rough cuts, graphics, etc. 5 The New Project dialog box opens. 6 Type a name for your project in the text box and then click OK. 7 The Project Name displays in the Project Browser. 8 Check that you can save Adobe Premiere Pro projects in your project space. Launch Adobe Premiere Pro, create a new project, and save it in a location within the Editshare Shared Project space.

Lockable Project Spaces
Viewing Projects in EditShare Connect You can view your Adobe Premiere Pro projects in the EditShare Connect Project Browser. Open the project folder to see the projects and the padlock icons.
Each Adobe Premiere Pro project will have one of three colored padlock icons next to, indicating the project’s status: Yellow: Green: Red:
Neutral state, no users have the project open in read-write mode You have the project locked for read-write access Locked for write by another user, with an indication of the name of the user that has it locked.
When users double-click on a locked project, they are offered the ability to open it with read-only privileges only. They will not be able to save the project, but will be able to view content, play sequences, etc. Once a user has finished editing a project, they can save it, and then click the green lock icon once to return it to a neutral state, indicated by a yellow padlock icon. Another user can now open the project with read-write privileges by double clicking on it.

Adobe Premiere Pro Setup Setting Media Space Locations For every new Adobe Premiere Pro project you make, you must set the Media Space location(s) of all media and render files, and set a number of other options. Do the following.
TASK 1 Open Adobe Premiere Pro. In the Welcome screen that opens, click on ‘New Project’. The New Project Dialog opens. 2 In the General tab, make any changes to settings for your project as required. 3 Click on the Scratch Disks tab. 3

Storing Projects and Media Separately (Recommended) For the best and safest collaborative workflow, EditShare recommends that you store your Adobe Premiere Pro projects in a Lockable Project Space as described on page 13. You must adjust the Scratch Disk media locations to point to the appropriate Media Spaces for each new Adobe Premiere Pro Project that you make. Note: Shared Project Spaces cannot be used for media file storage. If you store Adobe Premiere Pro projects in a lockable Project Space, you cannot leave the default setting ’Same as Project’ for Scratch Disk media file locations. You will encounter problems if you try to capture or render media files to a Project Space location. For the best combination of flexibility and protection in this case, EditShare recommends the following Scratch Disk setup: Captured Video and Audio:
Managed Media Space, generally one per project
Previews and Audio Previews:
Unmanaged Media Space, generally one per project
Project Auto Save
On each workstation's local drive, or an Unmanaged Space
Make sure you are logged into EditShare Connect, and then for each Scratch Disk type, navigate to the appropriate Media Space path. When you have completed the Scratch Disk selections, save your Adobe Premiere Pro Project to the appropriate Shared Project space path. Once saved, your project will show up in the EditShare Project Browser. The user who created it will see a green lock next to his or her project, while other users will see a red lock with the owner’s user name alongside.
Storing Project and Media Files Together If you do not wish to collaborate on Adobe Premiere Pro projects with other editors, and you are not using Lockable Project Spaces, you can store your Adobe Premiere Pro project file in a Managed or Unmanaged Media Space, and you can leave the media locations at the default setting ’Same as Project’. The default settings for scratch disks within Adobe Premiere Pro expect that all media files, graphics, audio and renders be kept in the same folder or Media Space as the project. This has the advantage that separate render Media Spaces do not have to be set up, as is common with Avid based installations.
Audio Settings You may want to switch off audio peak generation for projects that contain a lot of audio, otherwise they will take a long time to open. Select Edit > Preferences > Audio > Turn off Automatic Peak File Generation.

Flow Asset Management with Adobe Premiere Pro Flow Browse Flow Browse is a versatile application for ingest, browsing, searching and editing media on an EditShare storage system. Authorized users can ingest from SDI sources or filebased media such as P2 and XDCAM cards. They can also start Flow Scan operations from Flow Browse to list new media files that may have been captured or imported by NLE applications such as Adobe Premiere Pro, or that have been transferred directly to central EditShare storage. Flow Browse can also be used to view low-resolution proxy files of media stored on EditShare central storage and to create metadata for clips, including log entries, subclips, and markers. To facilitate organizing your clips into Projects, Folders and sequences or storyboards, you can use Flow Browse to search for clips based on any metadata fields, before dragging and dropping your work into Adobe Premiere Pro. The opening Flow Browse screen is divided into the areas shown below. 1

Flow Browse Setup In Flow Browse, you must set Adobe Premiere Pro as your preferred NLE, in order to use the correct XML format when you drag and drop clips, sub clips or sequences into the Adobe Premiere Pro Pro Bin. Do the following.

Viewing Media Spaces in Flow Browse On logging in to Flow Browse, you will see the Media Spaces that you are a member of, allowing you to browse the clips in those spaces. Media Spaces are sorted by type in Flow Browse, so Managed and Unmanaged spaces can be found under the appropriate heading as shown below:
Media Spaces that are mounted locally on your workstation are displayed in orange. You can edit the high resolution media files in these spaces with Adobe Premiere Pro. If the icons are gray, the spaces are not mounted. Although you can view the proxy files in unmounted spaces, add metadata, make subclips, log them, etc, you cannot drag and drop clips into Adobe Premiere Pro for high-resolution editing.
Dragging and Dropping into Adobe Premiere Pro Using Flow Browse, clips, subclips, sequences, and bins can be dragged directly from Flow into Adobe Premiere Pro for editing. Do the following:
TASK 1 Launch Flow Browse, and then log in to EditShare Connect. 2 Mount the required Media Spaces, they will display orange in Flow Browse. 3 Launch Adobe Premiere Pro. 4 Position the applications on screen such that you can see both the Adobe Premiere Pro Project Browser and Flow Browse onscreen at the same time.

5 Select one or more clips, subclips, sequences, or bins in Flow Browse. Click and drag them to the Adobe Premiere Pro project panel. The corresponding elements will be created in your Adobe Premiere Pro project, linked to the high resolution media. If you added markers and marker text to any clips or subclips, they will show up in Adobe Premiere Pro. Note: If you selected Premiere Pro as your preferred NLE, each element that you drag and drop from Flow to Premiere Pro will show up in its own folder. If you want to drag multiple clips at once into one folder, you can switch temporarily to "Lightworks" as your preferred NLE before dragging and dropping. This method allows multiple clips to be exported to one folder as it does not use XML. However, markers and sequences will not be carried over in the transfer.

Exporting Media Exporting Finished Media Adobe Premiere Pro can directly import the projects from After Effects and other Adobe applications into its project bin. The sequence can then be exported using the Export function. Adobe Premiere Pro includes options to export your media directly to an EditShare Media Space or via FTP to either a transmission server or an Archive system. Adobe Premiere Pro offers a wide range of broadcast codecs with the possibility to load plug-ins to provide more unusual formats. It is strongly recommended to use only one codec all the way through the creative workflow, as each transcode will introduce artifacts, reducing the overall quality of the finished project. Exporting Media
Media Types not Supported in Flow Graphics files, audio files and other media types not currently supported by Flow should be copied into the Media Space. These files will then be visible using Adobe Premiere Pro’s Media Browser as shown below.
Within other Adobe applications, such as After Effects, the File Import mechanism allows the user to browse the contents of Media Spaces to select video, audio and graphics files.
