We are looking for a Gallery Coordinator! Are you two parts assistant store manager, one part art appreciator or artist, and one part social butterfly? Have you held a management position in retail? Worked in a non-profit? Always had at least a toe in the art pool? If so, you could be perfect for our gallery coordinator position. We expect the gallery coordinator to • Be a positive and respectful self-starter • Communicate regularly with visitors and gallery stakeholders, as well as with supervisors and subordinates • Excel in time management and task prioritization • Understand how to be incredibly flexible to meet gallery priorities • Maintains confidentiality while still helping visitors and artists • Confident in using Microsoft Office, Gmail, Google Drive, Constant Contact. Familiarity or ability to learn Adobe products, Google Apps, e-commerce sites, etc. • Comfortable managing gallery sales and other monetary and math-based tasks • It is preferred that you have a drivers license and vehicle Education & Experience • Preferred – Education in the visual arts. Experience in galleries, museums, and/or nonprofits. Retail or customer service experience. • Will consider – Some education in the visual arts, nonprofits, the arts, and/or business. Retail or customer service experience. Sustained personal interest in the visual arts. The gallery coordinator will take ownership of the day-to-day operations of the gallery, as well as coordinating exhibitions and other duties as assigned. The coordinator should expect to work at least 20 -25 hours a week with some evening and weekend hours. They will be committed to opening and closing the gallery by arriving at least a half hour prior to opening and staying slightly after close. Our current hours are Thursday 12-4, Friday 12-4, and Saturday 11-4. Other hours will be determined with the Gallery Director and Board of Directors based on fluctuating demands. This is a physical job. You will be cleaning, setting up for reception, and moving art, packages, and pedestals just to name a few tasks. The gallery coordinator will average 20-25 hours including weekdays and weekends, and some nights. There is the possibility of occasional 30-hour weeks based on gallery needs. Detailed description of the Gallery Coordinator’s duties and responsibilities (in order of priority); Day-to-Day Operations • Opening and closing the gallery • Greeting all visitors and orienting them to the space • Managing volunteers & interns o Recruiting interns, interviewing and scheduling interns o Work with the volunteer coordinator to recruit and schedule volunteers o Train interns and volunteers o Determine what interns and volunteers will work on • Maintaining the appearance of the gallery o Cleaning and fixing things as needed, or scheduling someone to clean and fix things as needed o Order or pick up needed supplies for the gallery and its events • Communication tasks o In person communications o Phone calls and voicemails o Manage the general info and rental email addresses • Scheduling field trips, classes, workshops, etc. o Leading tours, or scheduling a docent o Making sure materials related to classes and workshops are in calendar and Google Drive for promotional efforts • Handle mail and deliveries • Handle sales and monetary transactions with the correct paperwork • Maintain gallery paperwork for the director and financial assistant to access through Google Drive and/or in hard copy as required o Such as - Financial records, Number of visitors, New email signups in Constant Contact Exhibitions – You will be the main contact for artists exhibiting or interested in our exhibitions • Facilitate our exhibition calendar by o Communicating with artists, jurors, installers about past, current, and future exhibitions o Scheduling exhibit related artist talks, workshops, and demos as needed o Managing artwork jurying, curating, drop off, pick up, and installation o Art handling – packing/unpacking work, hanging and de-installing work with or without volunteer or intern help o Completing all exhibit related tasks by pre-determined timelines – notifications, uploading files for PR tasks, etc. o Patching and painting the walls as needed between exhibitions Gallery Events & Usage • Prepare the gallery and related spaces for events such as receptions, talks, classes, and fundraisers • Communicate with the volunteer coordinator or key contacts to schedule support for events • Explain assigned jobs to volunteers • Organize refreshments for events • Schedule the use of the classroom and other spaces for classes and/or meetings Gallery Rentals • Answer questions about gallery rentals • Schedule rentals based on exhibits and availability of someone to staff the event AND other tasks as needed by the Gallery Director
