YHA Volunteer Managers Hostel Guide
www.yha.org.uk
2015
Welcome to the Volunteer Managers small hostel guide. In this guide we will share with you the fantastic destinations where you can give your time as a Volunteer Manager. You can visit the main YHA website on www. yha.org.uk for further information about all of the hostels listed in this guide, including pictures, location details and information about what to do in the local area. Each of our small hostels is unique. This guide will provide you with a description of the hostels available to you as a Volunteer Manager, and will help you choose the right hostel for your volunteering stay. Volunteer Managers are vital to the work of YHA as a hostelling charity; without you, we couldn’t keep our network of small hostels available for the enjoyment of all, especially families and young travellers. As a Volunteer Manager you have an amazingly important role – you help the thousands of people visiting our small hostels each year to explore new locations and create happy memories.
The role of Volunteer Manager Volunteer Managers are the heart and soul of our small hostels and manage the day to day running of these special places. Our volunteers support guests and help them to make the most of their hostelling experience; whether it’s checking guests in and out, cleaning bathrooms, bedrooms
2
and communal areas or keeping basic paper based recording up to date. To find out more about being a Volunteer Manager, please contact the Volunteering Team or download the Volunteer Manager Essential Guide from our website on www.yha.org.uk/ volunteering.
Staying in touch If there is anything you are not sure about, please contact a member of our Volunteering Team on 01629 592 562 or email us on
[email protected]. You can keep up to date about all things volunteering by liking our Facebook page (yhavolunteering).
Regional Coordinators YHA is very lucky to have the help and support of our volunteer Regional Coordinators and Volunteer Trainers who help us to organise and manage this very special programme. Regional Coordinators are the contacts you will use to book on to your volunteering week. Each Coordinator manages a set geographical area. When booking your volunteering, we would encourage you to make use of the knowledge and experience that the
Regional Coordinators have. All of our Regional Coordinators have experience of small hostels and can really add value to your volunteering experience.
Booking your stay Annually (in late November) YHA releases the availability to volunteer for the following year to trained Volunteer Managers. This is sent to you using the contact information you gave us when you applied to volunteer. If your address or email changes, please do let us know so we can stay in touch. If we have any additional volunteering vacancies, these are emailed out on a Wednesday, direct to your inbox. We only email out on a Wednesday when we have opportunities to share. To volunteer at a hostel, please contact the Regional Coordinator, whose details are listed at the end of this guide.
Expenses Volunteer Managers can claim up to a maximum of £55 to help with travel costs incurred on the return journey from your home to the hostel. If two managers are travelling from different locations, this expense is shared. Expenses are paid via BACS straight in to your bank account. To claim, you will need to complete an expense claim form and return it with your travel receipts attached to the Regional Coordinator. You can obtain a copy of the expense form from the Regional Coordinator, or by contacting the Volunteering Team.
Pets Please be aware that YHA does not allow pets to stay at our sites, the only exception is registered assistance dogs. If you are supported by an assistance dog, please make the Regional Coordinator aware when you book, so we can make the necessary arrangements at the hostel.
Mobile Phones Please be aware that due to the remote locations of some of our hostels, mobile signals are not always possible.
Share the experience with family & friends YHA wants our volunteering opportunities to be as accessible as possible, so we are happy for you to bring family members or friends to share your Volunteer Manager accommodation with you. We do ask that individuals, who have not undertaken our training course, refrain from helping you in your volunteering duties. If you are taking children with you when you volunteer, please be aware that you are responsible for their safety and supervision at all times. Please let the Regional Coordinator know if you plan to take any children under 18 years of age with you, as not all Volunteer Manager accommodation is suitable for children.
3
Accommodation This guide will give you details about the Volunteer Managers accommodation at each site. Usually beds are bunks unless otherwise stated. We would like to highlight that if you take guests with you when you volunteer, and they stay in the Volunteer Manager accommodation with you, there is no charge. However, if they require a bed in the hostel itself, they will need to pay the customer rate for their accommodation, and will also need to book in advance with our Contact Centre.
Contact Centre – here to help If you want to book a bed, check availability or find out information about a hostel in our network, our Contact Centre is a great source of help and inspiration! The Contact Centre is based in our Matlock office and is open; Monday – Friday: 8am – 8pm (6pm in November, December) Saturday: 9am – 5pm Sunday (inc. Bank Holidays): 10am – 4pm (not open on Sunday in November and December)
0800 0191 700
01629 592 700
Recruitment process Volunteer Managers are required to submit a registration form and two references to begin the recruitment process. After this is received, a telephone interview will be
4
scheduled. Following a successful interview, volunteers will then be offered a place on a training course which are run during autumn and winter. Courses are held at weekends (to be as flexible as possible) and are delivered by our Volunteer Trainers. All of our trainers have experience of being a Volunteer Manager, so have lots of experience and knowledge they can share with you. After the successful completion of the course, volunteers can then begin their volunteering experience with YHA. If you have any queries about this process, please contact the Volunteering Team for further guidance.
Problems Now and again problems can arise. If you have any issues while you are volunteering then the Parent Hostel should be your first point of contact. If you would like to share any feedback about your experience of volunteering, the Regional Coordinator is there to support you. If you don’t feel able to share your feedback with the Regional Coordinator, then please contact a member of our Volunteering Team for support. We greatly appreciate feedback from our volunteers, and would encourage you to share your experiences with us.
