Campus User Guide for EDI Centres July 2010
1. Introduction About this User Guide The purpose of this User Guide is to help you understand and operate Campus, EDI’s NVQ and exam management system. The User Guide is written for centre staff and makes the following assumptions:
You know how to use a personal computer. You are familiar with Microsoft Windows operating system. The computer you are using meets system requirements.
System requirements - to run Campus and administer tests Campus will operate (albeit a little slower) with a lower specification, however the preferred system requirements are: OS: Windows Platform Browser: IE 6.0 or above Screen Resolution: 1024 * 768 or above Client Software: Adobe Acrobat 7.0 or above Internet Connection: 1Mb broadband minimum Firewall and Proxy Servers: If you are running any type of Firewall or Proxy Server please allow the IP Addresses below:
195.200.131.227
195.200.131.228
Ports 80 (http port) and 1935 (flash port) also need to be configured to allow the EDI web addresses below:
http://www.ediplc.com/edi/Web/edi/index.aspx
http://www.goalonline.co.uk/Web/goalonline/candidate.htm
http://www.ediplc.com/diagnostics/
http://onlineassessments.ediplc.com
System security Campus has been designed to offer different levels of permission. Logging in to Campus requires three unique identifiers. These are: centre code, user name and password. Please ensure that you have an individual login for each user of Campus as this will assist in audit tracking on the website and security of candidate data. Centre Coordinators will be provided with a unique password. In addition, each centre also needs to identify which centre staff will be using Campus and the levels of permissions that need to be assigned, (currently View Only and Full Access) and they too will then be given unique passwords. Please do not disclose your password to any person who does not have either centre or EDI authority to access Campus. If you are in doubt, please seek advice from EDI Customer Support. Campus User Guide for EDI Centres July 2010
3
Data protection As access to Campus is managed through controlled passwords, this provides greater security within centres and the ability to track through proper audit trail registrations and orders. In addition, each candidate enrolment within Campus is assigned a unique learner number or candidate ID. This means that centers’ cannot enroll a candidate twice under different numbers, and when making claims, Campus will only allow a claim to be made against the correct units, preventing duplicate claims.

5. Enroling for N/SVQs, Frameworks, VRQs and Key Skills This section guides you through the process involved in enrolling candidates for N/SVQs, Frameworks, VRQs and Key/Core/Basic Skills. Before you can enrol a candidate you must first select the product you wish to register the candidate(s) against, and then refine your selection by choosing the units they are taking.
Step 1 Select Candidate Enrolment from the menu on the left hand side of the screen. Step 2 EDI has organised all its products into Business Sectors, most of which are self-explanatory. Select the Business Sector you require from the list. For example, Business Administration is listed under Business Skills. Alternatively if you know the specific product code or name, enter these details in the selection field and click Search.
Step 3 You will only be presented with those products that your centre is approved to deliver. Products for which you do not have enough credits will be greyed out. Click on the product you wish to enrol against.

13
Step 4 You can now select the units of the award your candidate(s) will be taking. The system automatically selects the mandatory units. Hover over the main unit title section of the award to see how many optional units are required to achieve a full award. Please also note that if your award includes a Technical Certificate, this needs to be selected at point of enrolment. You are now ready to enrol the candidates. Campus allows candidate enrolment by means of individual enrolment or bulk entry.
Individual enrolment Once you have correctly selected the product against which you wish to enrol the candidate, you will be presented with the following screen:
14
Campus User Guide for EDI Centres July 2010
Step 5 Enter the candidate details in the relevant fields. Mandatory fields are marked by an asterisk (*).
You can either enter the date of birth in the format of DD/MM/YYYY or select the date of birth from the calendar. You can quickly move between dates in the calendar by clicking on the month to see all the months in the selected year, and clicking on the year to see a decade. The field labelled Par relates to a candidate’s Particular Assessment Requirements. The LSC region and LSC area fields let you select the Learning and Skills Council or Local Enterprise Company that is funding the candidate.
Step 6 Once fields are completed, click Add. Step 7 Click Save to confirm enrolment. An acknowledgement screen will appear. Please note: Your enrolment is not complete until an acknowledgement screen appears.
Step 8 If you wish to print this acknowledgement slip, click Print. Step 9 Click Continue to complete candidate enrolment.

15
Bulk entry (multiple candidate enrolments) Follow Steps 1-4 in the Individual enrolment section. Step 5 From the candidate enrolment screen, click Bulk Entry. The following screen will appear:
Click Display Instructions for online help which explains the criteria and format required for bulk entry. Step 6 Follow the online instructions provided. It is important to note that when carrying out a bulk upload, you must be enrolling candidates for the same award or test; you cannot mix and match between awards. If enrolling for an NVQ, SVQ or an Apprenticeship Framework, all candidates will be enrolled for the selected units. Please contact Centre Support if you would like a template of the spreadsheet/database structure, which matches that of Campus. Once you have completed the bulk upload process, follow Steps 7-9 in the Individual enrolment section.

Scheduling tests This section guides you through the process involved in scheduling tests and re-sits for candidates you have previously registered for qualifications.
Step 1 Select Test Scheduling from the menu on the left hand side of the screen. Step 2 Tests and examinations are organised into the same categories as the qualifications they are part of. Select the Business Sector you require from the list. For example, Customer Service is listed under Customer Service. Alternatively if you know the specific unit/test code or unit description, you can enter these details in the selection field and click Search. Step 3 Having identified the required Business Sector you are now ready to select the specific product. You will only be presented with those products that your centre is approved to deliver. Alternatively you can click on the information bubble next to the unit description to ensure that the unit relates to the product for which the candidate is registered.
Select the product you wish to schedule against and then continue to step 4.

17
Step 4 Select the assessment method by clicking the drop down boxes. You will be presented with a number of options for how the test is to be delivered: On-Demand:
Paper based test, taken when required
Series:
Paper based test, taken on a particular day specified by EDI
On-Screen:
Computer based test taken at http://www.ediplc.com/examsonline/candidate over the internet.
Offline:
Computer based taken using EDI Offline whilst not connected to the internet
If taking on-screen or offline tests, please make a note of the centre code, order number and candidate number. This information can be found on the attendance register. Step 5 A calendar icon appears at the right hand side of the box. Click on the calendar icon and choose the date of the test. You can only select dates that are valid for the assessment method selected and you can only schedule a single test using a particular assessment method on a particular day. The calendar icon will appear like the one shown below:
If a test is already scheduled on that day, click on the day to bring up a link to the order. You can then jump to the order and click Edit Registration to add/remove a candidate to the existing test. Step 6 Click Continue. You are now ready to select the candidates for the test.
18
Campus User Guide for EDI Centres July 2010
Step 7 Click the check box next to the candidate(s) you want to sit the test. If you have many candidates registered for the qualification, you can use the search box above the list to find a particular candidate (an example is shown below).
Candidates remain available on this list to sit a test until they pass the test, so they do not need to be re-registered if they require a re-sit. Step 8 When you have selected all the candidates you want to sit the test, click Save. An acknowledgement screen is displayed showing you details of the order for the test.
Scheduling re-sits You schedule a re-sit for a test in the same way as scheduling the original test. Candidates are only removed from the list of available candidates for a test once they have passed the test, not if they fail. Please note: All Technical Certificates, VRQs, Adult Literacy, Adult Numeracy and Key Skill test re-sits are free of charge.
