About Oracle Mobile Sales Assistant for BlackBerry Optimized for sales professionals, Oracle Mobile Sales Assistant is designed to help you collaborate with your colleagues and customers, complete your frequent tasks, and quickly close business deals while on the road. Oracle Mobile Sales Assistant contains innovative features that provide you with access to both Personal Information Manager (PIM) and Customer Relationship Management (CRM) information, and enables you to work more effectively and collaboratively. Oracle Mobile Sales Assistant allows you to spend more time away from the office and be closer to your customers. It overcomes the key challenges while you are working remotely, including:
Limited access to contact and account data
Insufficient time to complete manual tasks
Oracle Mobile Sales Assistant is ideal for sales representatives whose access is limited to their BlackBerry device while traveling to a meeting or in the field with a customer. Oracle Mobile Sales Assistant is designed to maximize the following:
Usability. Oracle Mobile Sales Assistant is designed for sales users, and is optimized to support frequent tasks in the sales cycle.
Mobile Technology. As a smart client, Oracle Mobile Sales Assistant uses Web services to communicate with the Oracle CRM On Demand server and contains a small cache to maintain data persistence, minimizing interruptions or lost work.

Requirements for Using Oracle Mobile Sales Assistant The following are the minimum requirements to use Oracle Mobile Sales Assistant:
A supported BlackBerry device with the Tasks application installed
An active data plan for the device NOTE: Oracle is not responsible for any data, telephone, or text-messaging charges associated with the active data plan for the BlackBerry device.
For Oracle Mobile Sales Assistant to communicate with Oracle CRM On Demand, you must have the following:
An Oracle CRM On Demand account
Web services enabled for your Oracle CRM On Demand installation Contact your Oracle CRM On Demand Customer Care representative to set up the Oracle CRM On Demand Web services integration capability for your company. You can access this guidefrom the Documentation button in the Web Services Administration page in the Oracle CRM On Demand application.
The BlackBerry Maps application is recommended but not required (see http://maps.blackberry.com/ for information on BlackBerry Maps).
Installing Oracle Mobile Sales Assistant Complete the steps in the following procedure to install Oracle Mobile Sales Assistant on your BlackBerry device. For a list of the supported devices, see Supported BlackBerry Devices. Back up your device data before you install Oracle Mobile Sales Assistant. CAUTION:
Do not install Oracle Mobile Sales Assistant on unsupported devices.

To launch Oracle Mobile Sales Assistant
From the Home screen of your BlackBerry device, choose the Oracle Mobile Sales Assistant icon from the menu. To display the full list of applications, click the Menu button.
Connecting to Oracle CRM On Demand If you want to access Oracle CRM On Demand data (in addition to data stored on your device), you are required to sign on to Oracle CRM On Demand. Oracle Mobile Sales Assistant requires user ID and password authentication to access Oracle CRM On Demand. The connection from the BlackBerry device to Oracle CRM On Demand can be by Mobile Data Service (MDS), BlackBerry Internet Service (BIS-B) or direct. You can specify one of those methods or choose Automatic, which tries each method in the order listed previously.

To connect to Oracle CRM On Demand

From the Sign-On screen to Oracle CRM On Demand, choose Connect to Oracle CRM On Demand.

In the Connect drop-down menu, choose a connection method: Automatic, Mobile Data Service, BlackBerry Internet Service, or Direct.

Enter your Oracle CRM On Demand user name (for example, MyCompany/MyUserId) and password. You have to insert a slash symbol (/) between the company name and the user ID. NOTE: The security questions typically required to sign on to Oracle CRM On Demand initially do not appear on the BlackBerry device. If you have not set up the required security questions, you cannot sign on to Oracle CRM On Demand from the BlackBerry device. In this case, sign on to Oracle CRM On Demand, using a Web browser on your personal computer or laptop computer, and set up the security questions.

(Optional) You can choose Remember My Password so that in future, the Sign-On screen does not appear, and you are automatically signed on to Oracle CRM On Demand. Oracle Mobile Sales Assistant configures the sign on as a one-time set up. To display the Sign-On screen again, choose Credentials from the Home screen menu. If you clear Connect to Oracle CRM On Demand and choose OK, Oracle Mobile Sales Assistant removes any previously stored password, and does not store the password that you enter. NOTE: Oracle Mobile Sales Assistant does not support single sign-on (SSO) to Oracle CRM On Demand.
Searching for a Contact, Account, Employee, Lead, or Opportunity Using Oracle Mobile Sales Assistant, you can search your BlackBerry device data and Oracle CRM On Demand data to retrieve contact, account, employee, lead, or opportunity listings.
To search for a contact, account, employee, lead, or opportunity

From the Oracle Mobile Sales Assistant home screen, choose Lookup.

From the Lookup screen, use the carousel selector at the top of the Lookup screen to choose the type of record that you want to search:

NOTE: On BlackBerry devices with a trackwheel, you can hold the ALT key while moving the trackwheel to operate the carousel using the standard BlackBerry navigation method. On BlackBerry devices with a trackball, you can move the trackball left and right to operate the carousel.

To display the details about a particular record, choose that record.

To locate a record that is not listed in the recently accessed list: a
Choose Search.

In the screen that is launched, type the name of the record that you want to locate in the Search field.

Choose Search again.
Oracle Mobile Sales Assistant returns a list of records (contacts, accounts, employees, leads, or opportunities) that match the search criteria and indicates whether the item is stored locally on the BlackBerry device or remotely on Oracle CRM On Demand. For more information on using the search facility, see About the Lookup Search Facility. If you do not specify any search parameters, Oracle Mobile Sales Assistant returns all records to which you have access for the record type that you are searching. You can search for the existing opportunities stored on Oracle CRM On Demand by specifying the following search parameters in the Opportunities screen, and choosing Search:
Oppty Name. The name of the opportunity that you are trying to locate.
With Account. The name of the account associated with the opportunity.
The search facility uses a starts with type search. For example, if you have two opportunities named Bank A and Bank B, entering Bank as your search parameter returns both opportunities. Neither parameter is required for the search. If you provide terms for both parameters, the search facility combines them with a logical AND. NOTE: Oracle Mobile Sales Assistant presents a list of previously used search terms that start with the characters that you have previously entered in the Search field. You can choose one of these items from the list.

From the list of records returned, choose a record to see the details for that record. Oracle Mobile Sales Assistant launches a card view of the information for the record. The information typically includes details, such as the name, title, address, and both the mobile and office phone numbers. You can perform the following actions from the menu on the Lookup screen:
To view the content in the selected record, choose View.
To add a new record, choose Add, complete the fields in the screen for the new record, and choose Save. Oracle Mobile Sales Assistant prompts you to save the new record on the BlackBerry device as well as on Oracle CRM On Demand.
To edit the information in the selected record, choose Edit.

NOTE: You cannot edit opportunity records with long descriptions (1998 characters) from within Oracle Mobile Sales Assistant.
To copy the selected record to the device from Oracle CRM On Demand, choose Copy.
To delete the selected contact record, choose Delete.
Not all actions are available for all record types. For example, the Delete and Copy actions are not available for account records. For employee records, only the View action is available from the Lookup screen. To open the detailed card view of an employee record, choose the record. In addition, actions are not displayed when they cannot be used. For example, Oracle Mobile Sales Assistant does not display the call action for a contact who does not have a phone number.
Using the Menu in the Card View In the card view for contacts, accounts, employees, or leads, you can perform the following actions from the menu:
Call. To launch a telephone call, choose Call. Oracle Mobile Sales Assistant launches the BlackBerry telephone application. SMS. To send an SMS (Short Message Service) message, also known as a text message, choose SMS. Oracle Mobile Sales Assistant launches the BlackBerry SMS application. NOTE: This feature is not available for account or opportunity lookup.
Email. To send an email, choose Email. Oracle Mobile Sales Assistant prompts you to launch the BlackBerry email application. NOTE: This feature is not available for account or opportunity lookup.
Share. To share data using SMS or email, choose Share. Enter the name of the contact with whom you want to share the data, or use the Lookup facility to find the contact in the To field, and choose Send. Oracle Mobile Sales Assistant launches the SMS or email application that is installed, and populates it with the account, employee, or contact data that you want to share.
Edit. To edit the information in the selected record, choose Edit.
Route. To obtain directions to a contact or account, choose Route. This action is available only if the record contains an address. For more information on getting directions and completing the Directions screen, see Obtaining Directions to an Account or Contact Location.
BlackBerry Maps. To search for the address location on a BlackBerry map, choose BlackBerry Maps.
For account records only, the following additional actions are available from the menu:

To search for account team members, choose Account Team.
For opportunity records, you can edit or delete the record in the card view. When editing the opportunity record, you cannot change the Opportunity Sales Stage.
About the Lookup Search Facility Oracle Mobile Sales Assistant searches for items as follows:
Search is case-insensitive. For example, you can enter Andrews or andrews to return the results for individuals with the last name of Andrews.
Oracle Mobile Sales Assistant searches for names based on how they start. For example, you might have two employees with the first names, Andy and Andrew. If you enter And for an employee search, the lookup returns matches for both Andy and Andrew.
If you enter a single term, and the search is for a name (that is, a contact or employee), Oracle Mobile Sales Assistant returns any record matching the target text at the beginning of either the first or last name. For example, if you enter, Andrew, the search facility returns all items with a first name matching Andrew or with a last name of Andrews.
If you enter two terms, Oracle Mobile Sales Assistant searches for records that match the following:
The first name matching the first search term, and the last name matching the second search term.
The first name matching the second search term, and the last name matching the first term.
For example, if you enter John Jones, the search facility returns John Jones, John Paul Jones, and Johnny Jones. If you enter Jo Pa for a contact search, the search facility returns John Paul and Paul Jones.
If you enter more than two search terms, Oracle Mobile Sales Assistant ignores any terms after the first two terms. For example, if you enter John Paul Jones, the search facility searches for the first name, John, and the last name, Paul. To obtain the expected results, modify your search to John Jones.
Adding a Contact, Account, or Lead You can add a contact, account, or lead record from the Lookup screen.

In the screen that is launched for the new record, complete the fields for that record and choose Save from the menu. For contact, account, and lead records, the fields typically contain information, such as first and last name, and address information. When you add a contact, and you choose a primary account for the contact, the new contact appears on that account's customer contact list. The last two fields for a Contact record (Mobile and Office) contain phone numbers for the contact (mobile phone number and office phone number).
Scheduling an Appointment You can schedule appointments with your contacts, employees, account teams, or account customers by using the scheduling feature of Oracle Mobile Sales Assistant. An account team is a list of employees assigned to an account using the account team feature in Oracle CRM On Demand. An account customer refers to contacts associated with an account. If you choose an account team or account customer, you are first prompted to search for an account, and then prompted to choose an employee or contact. When you access the Today or Schedule screen, Oracle Mobile Sales Assistant automatically checks for updated appointments in the background. The automatic update occurs, at most, once each hour. To force a manual update at anytime, you can click Refresh on the Schedule screen. If appointment records are deleted from Oracle CRM On Demand outside of Oracle Mobile Sales Assistant, the deleted records continue to be shown in the Today or Schedule screen until you click Refresh.
To schedule an appointment

From the Oracle Mobile Sales Assistant home screen, choose Schedule. Oracle Mobile Sales Assistant lists all of your appointments that are scheduled for the current day. You can refresh the list of your appointments by choosing Refresh from the menu. When you view appointments over a range of days between yesterday and ten days from now, the appointment data that you view resides in the device cache. Outside of this range, Oracle Mobile Sales Assistant retrieves appointment data from Oracle CRM On Demand as needed. The refresh option is available only when viewing appointment data for days within the cache window.

To display your appointments for a different day, you can choose the following items from the menu on the Appointments screen:
Next Day. Tomorrow’s appointments
Previous Day. Yesterday’s appointments
Select Date. From the calendar date selector that is launched, choose the date that you want. When selecting from the BlackBerry calendar, press the trackwheel or trackball to return to the appointment list screen for the selected date.

To schedule a new appointment, choose Add from the menu in the Appointments screen.

In the Create Appointment screen: a
Enter the title for your appointment in the Enter Subject field.

Enter the location for your appointment in the Location field.

Specify the participants by choosing the Lookup icon in the Participants field. From the Participants screen menu, choose the type of participant: o
Choose Add Contact if the participant is a contact.

Choose Add Employee if the participant is an employee.
o
Choose Add Account Contact if the participant is an account customer.
o
Choose Add Account Team if you want to include the account team members.
Use the Search screen to list and choose the participant, and choose OK from the menu. d
Specify the date of the appointment by clicking the Calendar icon in the Date field. Use the calendar date selector to specify the date, and choose OK from the menu.

Specify the start time of the appointment by clicking the Clock icon in the Time field. Use the Start Time and End Time selectors to specify the start and end of your appointment, and choose OK from the menu. NOTE: When you change the start time of an existing meeting, Oracle Mobile Sales Assistant automatically updates the end time to maintain the same meeting length. To change the meeting length, update the end time of the meeting.

Enter additional details about the appointment in the Text field towards the bottom of the screen.

To save the appointment, choose Save from the menu.
(Optional) For a selected appointment, you can perform the following actions from the menu:
To view the content in the selected appointment record, choose View.
To add a new appointment record, choose Add. Complete the fields for the record in the New Appointment screen, and choose Save from the menu. Oracle Mobile Sales Assistant saves the new record on the BlackBerry device and prompts you to save the new record to Oracle CRM On Demand also.
To edit the information in the selected appointment record, choose Edit. NOTE: Oracle Mobile Sales Assistant sends modified appointments to Oracle CRM On Demand when a network connection is available. It displays newly created appointments immediately, but you cannot edit these appointments until they are sent to Oracle CRM On Demand.
To copy the selected appointment record, choose Copy. Oracle Mobile Sales Assistant prompts you to indicate where to copy the appointment record to. The Copy action appears only if the appointment record is stored either on

your BlackBerry device or in Oracle CRM On Demand, but does not appear if it is stored in both places.
To delete the selected appointment record, choose Delete. Oracle Mobile Sales Assistant prompts you to confirm the delete operation for each location where the record is stored.
Creating a Task You can create tasks and optionally assign them to others by using the feature for creating a task in Oracle Mobile Sales Assistant. When you access the Today or Tasks screen, Oracle Mobile Sales Assistant automatically checks for updated tasks in the background. The automatic update occurs, at most, once each hour. To force a manual update at anytime, you can click Refresh on the Tasks screen. If task records are deleted from Oracle CRM On Demand outside of Oracle Mobile Sales Assistant, the deleted records will continue to be shown in the Today or Tasks screen until you click Refresh.
To create a task

From the Oracle Mobile Sales Assistant home screen, choose Tasks. All incomplete tasks assigned to you with a due date specified are displayed in the Tasks screen. If no tasks are assigned to you, the words, No Tasks, appear on the Tasks screen.

In the Tasks screen, choose Add from the menu to launch the Create Task screen: a
Enter the title for your task in the Enter Subject field.

Assign the task to an employee using the Lookup icon in the Assign To field. Use the Search screen to list and choose the employee, and choose Select from the menu.

If required, associate the task with a contact or account, using the Lookup icon in the Associate With field. NOTE: Oracle Mobile Sales Assistant supports associating tasks with either a single contact or a single account. It does not support associating tasks with multiple contacts, multiple accounts, or combinations of the two.

Specify the date on which you intend completing the task by clicking the Calendar icon in the Date field. Use the calendar date selector to specify the date on which the task is due.

To describe additional information for your task, enter the information in the Text field at the bottom of the screen.

To save the task, choose Save from the menu. Oracle Mobile Sales Assistant prompts you to save the new record to Oracle CRM On Demand as well as to the BlackBerry device.

For any existing tasks listed in the Create Tasks screen, you can find more details about a specific task by choosing the task from the list of tasks returned. For a selected task, you can perform the following actions from the menu:

Creating a Jot Note A jot note is an electronic sticky note. You can create a free-form note as a brief note or reminder to yourself, using the jot note feature of Oracle Mobile Sales Assistant.
To create a jot note

From the Oracle Mobile Sales Assistant home screen, choose Jot Notes.

Enter the title for your note in the field at the top of the jot note.

Enter the information for the jot note in the main body of the jot note.

You can perform the following actions from the menu:
To add a new jot note, choose Add. If you have no preexisting jot notes, you are placed in edit mode for the new jot note. If you have preexisting jot notes, you are placed in scroll mode, and you have to select the jot note in order to edit the note.
To delete the jot note, choose Delete.
To immediately save the jot note after editing it, choose Save. Jot notes are stored automatically, so choosing Save is typically not necessary. On BlackBerry devices, no user action is required to save a jot note.
To attach the jot note to an Oracle CRM On Demand record (contact, account, or opportunity), choose one of the following: o

If you have more than one jot note, you can scroll between jot notes by choosing Next Note or Previous Note, or Scroll Notes, on the menu.
Sharing Your Information as a vCard You can share information about yourself, by sending a vCard (Versitcard) in an email message. A vCard is a file format standard for electronic business cards, often attached to email messages.
To share your information as a vCard

From the Home screen, choose Share Card. Oracle Mobile Sales Assistant displays your vCard information (for example, your name, title, email address, and your associated phone numbers).

If necessary, edit your information by choosing Edit My Card from the menu. Update and complete the fields in the Edit My Card screen, and choose Save from the menu.

In the To field, enter the email address of the person with whom you want to share your vCard.

In the Note field, enter a brief note for the recipient, for example: Please find my contact information attached.

To send the vCard, choose Send from the menu. Oracle Mobile Sales Assistant launches the default email application on your BlackBerry device with your note text in place and vCard attached. You can send the email to the recipient using the email application.
Checking Today’s Information You can check information, such as your schedule, contacts, or tasks for today.
To check today’s information

From the Home screen, choose Today. Oracle Mobile Sales Assistant launches the Today screen, which lists the following items:
Today’s Schedule Today's Schedule displays the appointments with a start date set to the current day.
Today’s Contacts Today's Contacts displays the contacts and employees who are participants in the tasks and appointments displayed on the Today screen.
Today’s Tasks Today's Tasks displays up to ten incomplete tasks with a due date of the current day or earlier.

Using Oracle Mobile Sales Assistant
If Oracle Mobile Sales Assistant finds items in a category, it displays the number of items in parentheses next to the category header. For example, if you have two tasks due today, you see Today’s Tasks (2). NOTE: You cannot directly view or edit the participant’s list of tasks. Only participants listed in the Oracle CRM On Demand tasks and appointments appear on the Today screen.

To view the details for a schedule, contact, or task record for the current day, choose the specific item.

(Optional) To add a new schedule, contact, or task, choose More (>>) to go to the corresponding Appointments, Contacts, or Tasks screen. For more information on the following tasks, see:

Obtaining Directions to an Account or Contact Location Oracle Mobile Sales Assistant can retrieve the direction to an address for an account or contact using the Oracle Spatial eLocation technology. In addition, Oracle Mobile Sales Assistant supports BlackBerry Maps. The eLocation service supports the contiguous United States (excluding Alaska and Hawaii). For information on eLocation, see the help at http://elocation.oracle.com/elocation/elocation_entry.jsp NOTE: This feature is not available for searching employee records.
To obtain directions to an account or contact location

Look up the account or contact for which you want directions. To look up an account or contact, see Searching for a Contact, Account, Employee, Lead, or Opportunity.

After you have opened an account or contact record, choose Route from the menu.

Enter your current address in the From field. To improve the results returned by Oracle Mobile Sales Assistant, enter as much detail as you can about your current location, including the street address, city, state, ZIP code, and so on, in accordance with the eLocation fields.

Using Oracle Mobile Sales Assistant
If you want Oracle Mobile Sales Assistant to store the address you entered in the From field for future sessions, choose Remember. To clear the preexisting information in the From field, choose Clear. To switch the information between the From and To fields, choose the up and down arrows.

If required, you can update the address in the To field. By default, Oracle Mobile Sales Assistant populates the field with the address information from the card that you are viewing. You can store the address as PIM data in the BlackBerry device or Oracle CRM On Demand.

Choose whether you want the fastest or shortest directions from the picklist.

Choose whether you want directions using highway routes or local roads from the picklist.

Choose Get Directions and complete the following:
In the confirmation window for the From address, choose the correct From address from the list of possible address matches returned by the eLocation service.
In the confirmation window for the To address, choose the correct To address from the list of possible address matches returned by the eLocation service.
NOTE: If either the From or To address matches what is returned from the Geospatial Entity Object Code (geocode) request to the eLocation service, Oracle Mobile Sales Assistant skips the confirmation step. Oracle Mobile Sales Assistant displays the directions returned from the eLocation service. To obtain the directions to return back to your originating location, choose Return Directions from the menu.
Creating a Call Note You can create a summary of a telephone conversation using the call notes feature of Oracle Mobile Sales Assistant. After you end a call to a contact, account, or lead, you can create a call note in response to the Oracle Mobile Sales Assistant prompt.

From the card view for the contact, start a phone call with the contact by choosing Call from the menu.

Indicates where it retrieves the data from: o
A red icon ( ) to the left of a contact indicates PIM data from the BlackBerry device.

A blue icon ( ) to the left of a contact indicates data from Oracle CRM On Demand.

A combined blue and red icon ( ) to the left of a contact indicates data from both the BlackBerry device and Oracle CRM On Demand.
Account lookup When you use Oracle Mobile Sales Assistant to search for an account, it searches for data only in Oracle CRM On Demand.
Employee lookup When you use Oracle Mobile Sales Assistant to search for an employee, it searches for data only in Oracle CRM On Demand.
Contact data edit When you edit and save a contact record that is stored in Oracle CRM On Demand but not on your BlackBerry device, Oracle Mobile Sales Assistant prompts you to save the data to your device as well as Oracle CRM On Demand. When you edit and save a contact record that is stored in both your BlackBerry device and Oracle CRM On Demand, Oracle Mobile Sales Assistant automatically saves the data in both sources.
Opportunity or employee data edit Oracle Mobile Sales Assistant does not support adding or editing employee data. It allows you to edit opportunity data (but not the opportunity sales stage), but not adding opportunities.
Tasks or appointment data When you create a task or appointment, Oracle Mobile Sales Assistant automatically saves the data to your BlackBerry device, and prompts you to save the data to Oracle CRM On Demand. When you view a task or appointment:
Use the Due Date, Subject and Description when checking if two tasks are the same
Use Start Time, End Time, Location and Subject when checking if two appointment are the same
Oracle Mobile Sales Assistant indicates where it stores the task data:
A red icon ( ) to the left of a task indicates data from the BlackBerry device.
A blue icon ( ) to the left of a task indicates data from Oracle CRM On Demand.
A combined blue and red icon ( ) to the left of a task indicates data from both the BlackBerry device and Oracle CRM On Demand.
When you save a record after editing a task or appointment, Oracle Mobile Sales Assistant prompts you to additionally save the data to the BlackBerry device or Oracle CRM On Demand if the data does not exist in either of these sources.

About Data Retrieval
When you delete a task or appointment, Oracle Mobile Sales Assistant prompts you to confirm the deletion of the record at location where the item is stored.
Call notes When you create call notes, Oracle Mobile Sales Assistant stores the data only on Oracle CRM On Demand.
Jot notes When you create jot notes, Oracle Mobile Sales Assistant stores the data on the BlackBerry device. If you attach a jot note to Oracle CRM On Demand, you can choose to keep or delete the local copy. However, any updates to that jot note will not be updated on Oracle CRM On Demand. You have to attach a new copy of the jot note, but the new copy does not replace the original jot note.
Custom fields are not supported by Oracle Mobile Sales Assistant. You cannot change the fields that are displayed by Oracle Mobile Sales Assistant. If you rename a field in Oracle CRM On Demand, Oracle Mobile Sales Assistant does not reflect the new field name.
Description fields are limited to 1998 characters for task, appointment, and opportunity records. Records with a description field of 1999 or more characters cannot be edited within Oracle Mobile Sales Assistant. To edit such records, you have to use a Web browser from your personal computer or laptop computer.
