488 EVENTS COORDINATOR NATURE OF WORK This is responsible professional and administrative work in the coordination of all aspects of events at the Bayfront Center from the time they are booked until their conclusion. Work includes responsibility for coordination of all activities and operational needs required to plan, stage and breakdown events at the Bayfront Center. Work involves considerable contact with promoters, advertisers, stage crews, artists and vendors and is often performed under severe time constraints. Work is performed with considerable independence under general supervision and requires ingenuity, judgement and discretion, and is reviewed through analysis of results achieved, conferences and observation. EXAMPLES OF WORK Works closely with facility tenants to determine required set-ups and coordinates the required information with the Building Superintendent. Schedules and supervises all event employees, including security, first aid, ticket takers, ushers, door guards, event labor and custodial staff. Trains event employees regarding City and facility policies, and in the proper performance of their jobs. Maintains a staff of appropriate size and skill level to service all events. Computes billing for events based upon services, equipment, and staffing provided to tenants. Utilizes events check sheet to ensure that all necessary arrangements have been made for each event. Keeps inventory of event equipment and checks out same to event employees and lessees as required. Works with other officials regarding safety, handicapped and fire regulations during events and performs other related duties. Verifies changes for event related expenses and presents them for event settlement. Serves as event manager to assure a successful event. DESIRABLE KNOWLEDGE, SKILLS AND ABILITIES Considerable knowledge of all operational aspects of events (i.e., tenant/operator relationships, all event services, staffing, etc.). Knowledge of facility limitations, capacities and operational functions. Ability to accurately estimate equipment, staff and time requirements for various event operational functions. Ability to make sound decisions under time constraints. Ability to work a flexible work schedule. Ability to establish and maintain effective working relationships with government officials, prospective lessees, employees and the general public. Ability to assign, monitor and evaluate the work of a semi-skilled and technical staff. Knowledge of crowd behavior management and crowd psychology. DESIRABLE TRAINING AND EXPERIENCE Graduation from an accredited four-year college or university with major course work in public relations, education/training or a related field with two years experience as a house manager or event coordinator of a single or multiple building complex, one year of which should be in a supervisory capacity or any equivalent combination of education and experience.
