Welcome from CEO Welcome to Reynolds Training Academy. I am delighted you have chosen to take the next step on your journey with us. Our purpose as an organisation is, ‘to make dreams achievable for anyone who shows the potential to become professional, by providing the highest quality training within a supportive and encouraging atmosphere.’ Reynolds were graded Outstanding by Ofsted based not only on our high quality of teaching, learning and assessment, our excellent facilities and our high qualification achievement rates but most importantly on the priority we place on supporting the individual needs of our learners. I hope you find the information contained within our handbook useful in understanding how to get the best from your time with us. Our personal tutors, support staff, programme managers, employment advisors and administrators will strive to provide you with exceptional support. Please never be afraid to ask for more help if you are unsure of anything or if you are encountering problems. Our whole team is here to help you achieve your best. You may have decided to join us in order to develop new skills, start a new career, or to gain promotion at work. Whatever your goal, we will work hard to support you to achieve it. Support services The Training Academy is committed to providing academic support for all learners. Our support services focus on academic progression, personal improvement, learner welfare and enrichment. Your Personal Tutor is responsible for: Providing you with independent information, advice and guidance; Monitoring and promoting your progress on the course; Reviewing your personal development and supporting your career planning; Writing and maintaining reports and references; Referring you to other experts; Distributing important notices; Ensuring that you are aware of the opportunities available for enrichment, additional skill development and qualifications. Your Personal Tutor is the first person you should contact should you experience any problems. You will be notified of your Personal Tutor’s name and contact details on your first day on programme. Your Programme Manager/Director is responsible for ensuring your safety and maintaining and improving the quality of your programme at the Training Academy. Should you experience any problems that you do not feel comfortable discussing with your Personal Tutor, or if you have any suggestions for how you would like to improve your programme or the Training Academy in general please contact your Programme Manager/Director. You will be notified of your Programme Manager/Director’s name and contact details on your first day on programme.

Induction All new learners participate in induction activities during their first week at The Training Academy. The purpose of induction is to: Welcome you and begin to integrate you into the The Training Academy community; Outline the rights and responsibilities you have as a part of this community; Introduce you to the Training Academy-wide facilities; Complete all the necessary enrolment documentation; Provide an opportunity for initial assessment of Literacy and Numeracy and subject-specific skills as required for each programme; Identify any additional support needs that you may have; Support the Training Academy’s aim in helping you to: Stay safe Stay healthy Enjoy and achieve Make a positive contribution Achieve economic wellbeing

If you are a learner at Reynolds Training Academy, you can expect: Support with your studies; A learner handbook within 10 working days of starting your programme; This will provide you with the general information you need to know about the Training Academy; A study programme which has been planned to ensure it meets your needs for personal development, employment and/or further studies; Regular opportunities for assessment, reviews of your progress and recording of your achievements through a meeting with your Personal Tutor at least once every 8 weeks; Agreed learning support and individual guidance at all stages of your programme; The opportunity for all learners to develop their skills in English and Maths and receive guidance and support in the use of ICT.

We treat complaints very seriously and we welcome constructive comments, complaints, and compliments when things go well for you. 20 Learner Code of Conduct

Learner Code of Conduct You should follow the Learner Code of Conduct at all times otherwise you will be subject to the Learner Disciplinary Procedure outlined later in this Handbook. As a learner at Reynolds Training, you are expected to: Abide by the attendance requirements of your programme; Only leave the Training Academy if you are authorised to do so; Attend all classes on your timetable; Show commitment to your coursework; Switch off your mobile phone during classes; Abide by the Acceptable Use of Technology Policy for the Training Academy information systems such as computers and the Internet and any devices connected to the Training Academy system; Take care of your valuables; Respect the property of other people and that of the Training Academy and its premises. Theft or wilful damage of the Training Academy’s or other people’s property will not be tolerated; Behave appropriately towards teaching staff, other learners, clients and gym staff/members; Behave towards others in a way that is not threatening, violent, aggressive, abusive, disruptive and, or obstructive to their learning; Behave towards others in a way that is not discriminatory. Bullying or harassment will not be tolerated; Behave in ways that ensure your own and other peoples’ health, safety and welfare. You must not put these at risk and must observe all instructions with regard to Health and Safety; Reynolds Training Academy Learner Handbook 21

Not smoke whilst on the Training Academy premises; Not possess or be under the influence of illegal substances on the Training Academy premises; Not consume or be under the influence of alcohol on the Training Academy premises; Not carry illegal or offensive weapons on the Training Academy premises; Not engage in any activities that bring the Training Academy into disrepute or seriously disrupt the work of the Training Academy, its learners or associated businesses.

Attendance and punctuality We know that having a clear and fair Code of Conduct and Learner Disciplinary Procedure which incorporates a good system for monitoring the attendance and punctuality of learners helps learners succeed. The Training Academy expects you to attend 100% of the time and not to take holidays or make medical/dental appointments during term time. We expect you to attend all planned and programmed sessions including theory and practical sessions, tutorials, Functional Skills, review appointments, work placements, workshops and enrichment sessions. We will monitor your attendance and will offer support if you are facing difficulties which affect your attendance. If you are consistently late or consistently fail to attend your planned sessions without prior authorisation, you will be challenged and may become subject to the Training Academy’s Learner Disciplinary Procedure. You will be withdrawn from your course if you fail to attend the Training Academy over a six week period and we are unable to contact you to resolve any issues. If you are unable to attend the Training Academy for whatever reason, you must ensure that you contact the Training Academy prior to registration or by 8am. You should call Dartford on 01322 275807. All learners who require time off in term time need to complete a Learner Absence Authorisation Form and hand it to their Personal Tutor.

Learner Code of Conduct

Health and safety The Training Academy is committed to providing a healthy and safe environment for our learners. We expect you to abide by all rules relating to health and safety at all times, for example by: Following all health and safety instructions; Not doing anything to put yourself or others at risk; Wearing the correct uniform as specified for your course; Handling chemicals correctly; Handling and using tools correctly; Not blocking fire exits; Following instructions given should there be a fire or similar emergency evacuation. Should you wish to see a copy of the Training Academy’s Health and Safety Policy, please ask your Programme Manager/Personal Tutor.

ID cards During your first week in The Training Academy you will be asked to provide a passport sized photograph so that you can be given an ID card on a lanyard or clip. This is for your safety and shows that you have an entitlement to be in The Training Academy. You are expected to wear your ID card at all times whilst on The Training Academy premises, unless it is impractical in class for health and safety reasons. Staff will also wear a staff ID card and visitors will wear a visitor’s card. Anyone without an ID card will be asked to explain who they are and why they are in The Training Academy and taken to Reception. In this way we can ensure that the Training Academy is a safe environment for you to study in. If you lose your ID card you will have to pay £1 for a replacement. Look after your ID card.

Smoking Smoking damages your health, whether you smoke yourself or are in the presence of others who are smoking. The Training Academy has a ‘no smoking’ policy and smoking is not permitted on any Training Academy premises. We promote a healthy environment and support you in developing a healthy lifestyle. If you need help with trying to stop smoking, please contact our Learning Support Officer who will refer you to someone who can help. Learner Code of Conduct

Drugs The Training Academy does not tolerate the misuse of drugs. We try to educate learners to prevent any misuse and provide help to anyone with a drug problem. We aim to prevent the availability and use of illegal drugs on our premises and we do this with the co-operation of the police. The misuse of drugs is a serious breach of the Training Academy rules and will more than likely lead to exclusion. (See the Code of Conduct and Learner Disciplinary Procedure). If a learner has a problem with drugs the Training Academy may at its discretion, as an alternative, or in addition to disciplinary action, offer the learner the opportunity of help and support. Help is initially available through the Learning Support Officer.

Alcohol Alcohol is a drug and binge drinking can damage your liver, your stomach, your memory, your concentration and your sex life. Furthermore, when you are drunk you have fewer inhibitions and become bolder in your actions and behaviour towards others as well as becoming less aware of your surroundings. This can serve to put the personal safety and security of you and your friends at risk. As with smoking, support is available through the Training Academy’s Learning Support Office if you feel that you need help reducing your use of alcohol.

Acceptable use of technology and e-safety You must ensure that you follow the guidelines for acceptable use of technology and E-Safety laid down by the Training Academy. You will be asked to sign an agreement regarding the acceptable use of technology, which includes The Training Academy equipment and any personal equipment (such as mobile phones or laptops) that are connected to the Training Academy network. Look out for the e-safety posters in The Training Academy computer rooms and make sure that you use technology with an awareness of your own personal safety. From time to time, we will provide training for you on how to stay safe online.

Mobile phones You may take your mobile phone to your classes. In some cases, you will be required to leave it in a box by the door until the end of the session. Under no circumstances may mobile phones be switched on and used during classes unless it is with the express permission of the tutor. If you use your mobile phone in classes without permission, you may be subject to the Learner Disciplinary Procedure.

Emergency closure The Training Academy is only very rarely closed by bad weather or any other emergency. If you are in any doubt and you have some distance to travel, check the Training Academy website, or The Training Academy Facebook group and look out for email or text messages from the Training Academy.

Accidents and first aid First aid boxes are provided at all the Training Academy locations. You should: Report accidents in class immediately to the class tutor/assessor; Reception keep a list of First Aiders on site; Please report all accidents, so that an accident form may be completed; In the case of a serious accident, the First Aider may require you to stay with the casualty while an ambulance is called.

Your voice – The Learner Involvement Strategy

Your Voice – The Learner Involvement Strategy We want you to be involved in decisions that affect your training and learning. To get involved means that you are not only playing a part in activities planned for you, but also planning or influencing the activities themselves – whether this is a Training Academy event or The Training Academy management and the way you are taught.

How to make your views known Learner feedback about your Training Academy and course experience is essential. There are many ways in which you can contribute your views: Complete a confidential online surveys at every review with your Personal Tutor; Provide feedback about your programme to Senior Managers through your ‘student rep’ or become your programmes ‘student rep’; Take part in course-specific focus groups on the quality of your experience; Book a meeting with your Programme Manager to discuss any concerns you have or suggestions you have for improvements. We will always let you know how we have acted and responded to your suggestions.

30 Careers advice and guidance support

Careers advice and guidance support As a learner at Reynolds Training Academy you are entitled to careers guidance and support that will help prepare you for your next step, whether it is continuing in education or starting employment. Careers Education takes place in your curriculum. You should discuss with your Personal Tutor which activities best support your career planning. You can expect: Access to up-to-date online careers resources; Impartial individual help with deciding career or course options; Advice on and support with making applications to higher education and learner finance.

One-to-one guidance Through discussion about your Individual Learning Agreement and through regular reviews of your progress, your Personal Tutor will help you with careers information. For further guidance, we can refer you to a Connexions Adviser or qualified Careers Education Adviser.

Part-time work For some learners this is essential, and for many it is good experience, particularly if the work is course-related. For others the part time job takes over, becomes a serious distraction from the course, and may jeopardise their chance of success. Generally the Training Academy supports this aspect of self help, but does advise full-time learners to limit their part time work to less than 16 hours a week.

Job search The Training Academy cannot take responsibility for getting you a job at the end of your course but it will help by providing: Relevant work experience; Active progression support such as tutorials to prepare your CV and letters of application, classes to develop your job search skills and interview preparation support; Access to qualified Careers Advisers.

Careers advice and guidance support

Additional learning support Additional Learning support (ALS) is available for learners who are struggling with any aspect of their learning. Your Personal Tutor can provide support and help with planning assignments, research, essay writing, exam techniques, literacy, numeracy and for learners with specific learning difficulties, more significant support. If you think you may need help with any of the above, talk to your Personal Tutor. If you have previously had exam access arrangements or think that you may be eligible for them you should speak to your tutor as soon as possible. The Training Academy wishes to ensure that it complies with the Disability Discrimination Act (as amended by the Special Educational Needs and Disability Act 2001). If you are a person with impairment, please ensure that we know what you need so that we can make all reasonable adjustments to help you succeed.

Changing or leaving your course We try to ensure that all learners are on the right course. If, however you think you may have chosen the wrong course, discuss the problem with your Tutor. Do not leave such discussions until it is too late! If the problem is related to financial hardship, childcare or transport, then we may be able to refer you to someone who can help.

Child and vulnerable adult protection The Training Academy co-operates with Social Services, the Police, the Local Safeguarding Children Board and the Vulnerable Adults Unit to safeguard the health and welfare of learners under the age of 18 and vulnerable adults. The Training Academy has a statutory duty to report concerns about neglect or physical, sexual and emotional abuse and staff are expected to comply with procedures summarised in the Training Academy’s Safeguarding Policy which incorporates Child and Vulnerable Adult Protection. If you wish to be provided with a full copy of our Safeguarding Policy, let your Personal Tutor know. Reynolds Training Academy Learner Handbook 33

Confidential does not mean secret! Whilst a learner can generally expect that information revealed in confidence to a member of staff will not be divulged to a third party, staff cannot guarantee confidentiality to learners who disclose information that suggests they or others are at risk of significant harm or there is a child or vulnerable adult protection concern. In these cases the Designated Safeguarding Officer will be informed and information may then be shared with others including parents (of learners under 19), Social Services and the Police. Bullying The Training Academy will not tolerate any bullying, harassment or discrimination. This includes discrimination by age, sex (gender), race, gender reassignment, disability, religion or belief, sexual orientation or arising from pregnancy or maternity; and harassment or bullying through inappropriate texting or misuse of social networks and using inappropriate language to other learners or staff. If you are the subject of or are witness to any of the above, talk to your Programme Manager or Personal Tutor immediately. Our Anti-Bullying and Harassment Policy, will be covered fully in your induction.

Additional learning support

Disability Please tell your Personal Tutor as soon as possible if you have a mobility problem (particularly important for fire drills and emergencies) or any other disability that might affect your studies. The Training Academy is committed to ensuring that those with disabilities, including learning difficulties, are treated fairly. All reasonable adjustments to provision will be made to ensure that learners with disabilities are not substantially disadvantaged. If you wish to be provided with a full copy of our Disability Statement, let your Personal Tutor know.

36 Assignments and assessment

Assignments and assessment For most courses assessment of your developing knowledge and skills will take place throughout the course. This is usually done by you completing assignments set by your tutors and/or the Awarding Body responsible for your qualification. In this section we explain the importance of assignments, and how we assess them.

Assignments When you start your programme, your tutor will ensure you have a copy of your Course Handbook. The Course Handbook explains all the arrangements for assignments, including: Rules and procedures for applying for extensions; What we would consider to be cheating or malpractice in completion of an assignment and the penalties for these offences; How you can appeal against an assessment decision if you think it is incorrect or unfair. Learner Review Your progress will be reviewed every 8 weeks via a one to one review with your Personal Tutor. This is an opportunity for you to celebrate your achievements, set targets for development and raise any concerns. Make sure that you attend your reviews and make the most of the opportunity it provides.

38 Learner Disciplinary Procedure

Learner Disciplinary Procedure Introduction Minor issues with learners should be resolved informally. However, where there are repeated minor problems or serious offences are committed, the following Disciplinary Procedure will take effect. Stage one: Formal verbal warning Stage two: First written warning Stage three: Second written warning Stage four: Exclusion It remains at the discretion of the Training Academy to skip any of these stages should this be considered the most appropriate course of action. The stages of the Learner Disciplinary Procedure may be found in the full version of the Learner Disciplinary Procedure. The Learner Disciplinary Procedure will be covered fully as part of your induction.

Minor offences Typical examples of minor offences include but are not limited to: Consistent lateness, defined as more than 3 times in any 2 week period; An unacceptable level of unauthorised absence, defined as more than 3 times in any 2 week period; Leaving the Training Academy without authorisation at any time; Inappropriate conduct towards teachers, other learners, clients or gym staff/members; Refusal to attend specific classes; Lack of commitment to coursework. Serious offences Serious offences include but are not limited to: Theft; Damage to the Training Academy property, vandalism of the Training Academy property; Being under the influence of alcohol or drugs; Violence or threatened violence towards teachers, other learners or clients; Bullying and/or harassment, whether verbal, physical or sexual; Any breach of the Training Academy’s Equality and Diversity Policy; Any activities which bring the Training Academy into disrepute or seriously disrupt the work of the Training Academy, its learners or associated businesses; Any breach of the Reynolds Group Health and Safety regulations; Any criminal proceedings being brought against a learner, whether directly associated with the Training Academy or not; Refusal to participate in the Training Academy activities either partially or in their entirety; Plagiarism, cheating or malpractice.

Data protection Reynolds Training Academy collects information about all of its learners for various administrative, academic and health and safety reasons. To comply with the Data Protection Act 1998 we need your consent before we can do this. By signing your Application Form you have given your consent to The Training Academy to hold and process all data relating to yourself for all relevant purposes. The Training Academy will not divulge any personal information to other persons or organisations without your consent except as required by law.
