NEW GROUP FEATURE > DISTRICT GROUP SETTING
New District Group Setting What is the new feature? ML Schedules™ K12 Facility Request Software now provides District Admins with the ability to create official District Groups, or to apply this setting to new or existing Groups. This new District Group setting facilitates the creation of District athletic-team practice schedules by District Admin on behalf of coaches that complements the use of athletic-league scheduling software. Notes • ML Schedules™ Software offers an Application Programming Interface to any other software application that allows third-party integration. Please have your software vendor call us for details. • See Tech Note 11, Athletic Director Workflow, for a step-by-step procedure that Districts can use with their athletic-league scheduling software.
What is the new feature? The District Group setting can be managed in a number of ways: • By Group Managers who can request that one of their new or existing Groups be granted District Group status by the District Admin. • By District Admins who can: –– Grant District Group status to existing Groups or: –– Create new District Groups associated with existing Group Managers. For example, a District Admin could create new District Groups on behalf of an Athletic Director. –– Create new District Groups associated with new Group Managers created by the Admin. For example, a District Admin could create new District Groups on behalf of a coach that does not have an ML Schedules™ software account. IMPORTANT: By default, all new or existing Groups are classified as Community Groups (i.e., not District Groups) unless the Group Manager requests the status or the Admin assigns it independently. This Tech Note provides the procedures for: • Group Managers to request the District Group status for existing or newly created Groups, and; • District Admins to apply the status to existing Groups, create new District Groups (for existing or new Group Managers), and respond to Group Managers’ requests for the District Group setting. —continued—

Group Managers: Request District Group Status Group Managers can request that a new or existing Group be granted District Group status by the District Admin. Existing Group Request Once logged into ML Schedules™ software:
Group Information screen
1. Select Profile from gray toolbar. The Group Manager Profile screen will be displayed showing all Groups being managed to the right of the Manager information. 2. Select the Edit icon next to the Group Name for which you want to request District Group status. The Group Information screen will be displayed. 3. Select the Group’s District from the Internal District Group drop-down menu. 4. Select the Save button. An email will be sent to the Admin of the selected District to act on your request. You will receive an email from the Admin with the response to the District Group request. New Group Request To request District Group status for a new Group, create the new Group by selecting the Add Group icon from your Profile screen. Then follow steps 3 and 4, above, when entering the new Group data to request District Group status.
District Admins: Grant District Group status Grant District Group status to existing Groups District Admins can grant District Group status to an existing Group in one of two ways: 1. Via a response to a Group Manager request as per the procedure described above, or; 2. By accessing the existing Group’s profile and changing the District Group status setting. Admins can also set up new District Groups, assigning the new Group to an existing Group Manager. To respond to a Group Manager Request:

1. Select the link in the email notifying you of the request or log into the software and select the Manage District Groups command from the Admin drop-down menu. The Manage District Groups screen will be displayed with a default view of all Groups. —continued—

District Admins: Grant School Group status/Grant School Group status to existing Groups (cont.) 2. If necessary, select the Pending setting from the Select Status menu to view only District Group requests that are awaiting responses. 3. Select the Approve (or Decline) setting in the Manage District Groups screen. An email will automatically be sent to the Group Manager with the Admin’s response. Change District Group setting for existing Groups District Admins can also access an existing Group profile and change the District Group status setting. Once logged into the software as an Admin: 1. Select the Manage District Groups command from the Admin drop-down menu. The Manage District Groups screen will be displayed with a default view of all Groups. 2. Selecting the Add Internal Group icon from the Manage District Groups screen. An Add District Group screen will be displayed. 3. Enter the email address of the Group Manager responsible for the desired Group. 4. Select the Get Groups button to display an index of Groups associated with that Manager. Select the Save & Grant Access button to assign District Group status to the Group. The appropriate Group Manager will receive an email message notifying them of the new District Group status. Create new District Group and assign to an existing Group Manager District Admins can also set up new District Groups, assigning the new Group to an existing Group Manager. To perform this procedure after logging into the software as an Admin: 1. Perform steps 1 – 4 of the previous procedure, Change District Group setting for existing Groups, entering the email address of the desired Group Manager in step 3. 2. Enter the name of the new Group in the “or Create New Group” field. 3. Select the Save & Grant Access button to assign District Group status to the Group. The appropriate Group Manager will receive an email message notifying them of the new District Group status. Create new District Group and assign to a new Group Manager District Admins can also set up new District Groups and assign them to a new Group Manager (i.e., one that has no ML Schedules™ software account). To perform this procedure after logging into the software as an Admin: 1. Create the new Group Manager account as you would for any new District account. Be sure to assign any District Roles at this time, if applicable. 2. Create the new District Group as outlined in the procedure above, Create new District Group and assign to the newly created Group Manager.
